Office Manager (50% Personality 50% Skill)A solvent service company is looking for that needle in a haystack. The right individual must be able to wear many hats and handle pressure while maintaining a positive attitude (fast paced environment). This individual will be working closely and reporting to the Senior Accounting Manager.Responsibilities: " Accounts Payable: posting payables to QB's, calling vendors and analysis " Distributor supply ordering plus reconciliation of invoices: place order, compare company order to vendor confirmation, match all POD's and backup to bill and request additional documents from rep if needed" Office Duties to include: light phone duty, ordering office supplies, mail distribution, FedEx scheduling, filing and other special projects as assigned in all areas of accounting department" Assist VP of Sales with LEED reporting, filing, admin, organization and general liability claims with Insurance company" Analyze various data as needed and prepare supporting excel reconciliations" Prepare appropriate schedules and reports as requested (MS Word, Excel and Powerpoint)" Accounts Receivable: Billing, Maintain Client Relationships, Collections and Receiving on Payments (this duty will gradually be transferred to Office Manager)Required Skills: " Minimum of four (4) years accounting, or bookkeeping experience including accounts payable and accounts receivables" QuickBooks experience is a MUST (Specifically, QB's Enterprise is a plus)" MUST be proficient in Excel (able to create a spread sheet)" Confidentiality and excellent written skills a MUST (Spanish a plus)" Proficient in MS Office and MS Outlook" A self-thinker (be part of creating better processes and procedures)" Computer Skills are a plus (general troubleshooting)" Bi-lingual in English and Spanish is a plusMust pass criminal background check and credit check due to the nature of the position - 16 months ago - save job
