General Position Description:

The Office Services Associate is a hands on position that delegates and oversees the work of the Office Services Team in the following areas: office and kitchen supplies, AV equipment, new employee set ups, and coordination of office moves.

Essential Duties and Responsibilities:
  • Maintain proper inventory levels of stock for office and kitchen supplies for Atlanta area Operations;
  • Maintain Inventory of all office furniture and equipment;
  • Delegate project work to Office Service Representatives;
  • Oversee, set up and breakdown conference rooms for meetings, trainings, quarterly meetings;
  • Coordinate service calls on office equipment, including copiers, faxes, printers, and AV equipment;
  • Track all office and supply requests from employees;
  • Set up seating of new employees/temps/contractors;
  • Assist in internal moves, including minor installations (bulletin boards, keyboard trays) and furniture relocations;
  • Act as a backup to other team members as required to provide continued service levels in all Office Services functions;
  • Mentor Office Services/ Facilities staff in home office;
  • Other duties as assigned by the Facilities Manager;

Required of All Employees of Facilities Department:

  • Strong attention to detail and deadline;
  • Self-directed, owning projects and managing them completion;
  • Ability to shift focus quickly in response to changing priorities;
  • Solid computer and people skills to assign and delegate projects as needed;
  • Background in conference/event management skills essential;
  • Strong analytic and/or research skills (will vary depending upon the specifics of the role);
  • Mastery of all Microsoft Office applications, including Outlook, Word, Excel and Powerpoint;
Specific requirements of the Office Services Associate:

Overall, the Office Services Associate should possess the skills necessary to respond quickly and pro-actively to a variety of service requests by allocating available resources and materials as needed. These abilities include:

  • Professional attitude: comfortable working in a corporate setting populated by diverse individuals and ability to maintain poise and a sense of humor in stressful situations;
  • Familiarity with presentation hardware and software, including Webex and video conferencing equipment;
  • Ability to work calmly and effectively under pressure;
  • Ability to organize and prioritize work schedules as priorities shift, and to generate solutions to new challenges;
Education and Experience Required:
  • 2+ years of professional work experience in a customer service capacity
