Summary: Provides assistance to the Office Services Manager via coordinating various facilities management functions. Duties and Responsibilities: Conducts new employee orientation regarding office security, life safety and facilities management. Assists Office Services Manager in approving leave and time and time and attendance.Assists with coordinating office maintenance services, such as furniture maintenance, small office repairs, and conference room maintenance. Provides customer service by responding to and resolving employee facilities and equipment complaints. Performs follow-up functions to ensure problem resolution. Assists the Office Services Manager in coordinating the Office Services Assistant duties and provides coverage when necessary. Coordinates the duties of department Interns.Assists the Office Services Manager with the coordination of cocktail parties, receptions and most firm social functions in the DC office.Assists the Office Services Manager with the coordinating the set up of offices and work areas for all personnel.Coordinates the assignment and documentation of space in case rooms and file banks. Coordinates the space assignment and furniture provisions for in-house document reviews.Assists the Office Services Manager with organizing and managing office moves and visitor office preparation.Assists with ensuring the timely and efficient movement of general office furniture and other items, and the rearrangement of furniture in all offices and work areas at the request of the Office Services Manager and the Director of Administration. Coordinates mailroom personnel and vendors engaged in moving furniture and equipment.Assists with the coordinating the maintenance and physical upkeep and aesthetic appeal of the office and shared office facilities such as lobbies, hallways, vents, signs, reception areas, lunchrooms, coffee stations, conference rooms, and restrooms (including cleaning carpet and wall marks).Coordinates repairs that are outside the scope of building engineers with appropriate vendors and maintain Excel database of the same. Performs follow-up functions to ensure problem resolution. Assists with coordinating move planning space requirements, scheduling outside vendors as necessary regarding the physical move.Assists with coordinating new employee cubicle/office assignment and requisite space preparations.Assists with managing and coordinating the DC office security, and the life safety program.Assists with overseeing the parking arrangements with PMI Parking Company.Coordinates with Lawyers Travel and manages the ticket printing process.Resolves issues with in-house outsourced service providers.Assists with reconciling monthly management company statements and prepares other management invoices for manager approval and payment.Other duties as assigned.
