The individual is responsible for coordinating office services support for the West Region office. Individual will work with various West Region managers on a variety of building related services and duties which include: vendor bids, cost reduction, mailroom function, record retention and storage, coordination with building management on services and West Region Safety on safety & security matters for the building.
ESSENTIAL JOB ACCOUNTABILITIES
Assists in the coordination and storage of records both at the office and outside storage consistent with Company record retention policies and procedures.
Maintains office services budget;
Conducts mailroom operations: sorts and prepares incoming mail for distribution, determines and affixes postage and maintains records on postage, registered mail and packages as well as processes certified mail;
Coordination of outside vendors for office services related work;
Recommends strategies and ways to reduce building and office services costs while maintaining high level of customer service;
Orders office and building supplies and maintains appropriate inventory levels, manages relationship with outside vendors;
Makes deliveries and assists departments and employees with requests for services on office support;
Performs physical duties such as moving boxes, files, furniture and disposing of trash;
Coordinates services for employee break area and manages meeting spaces;
Assists Safety in building security and safety programs such as fire and earthquake drills; conducts scheduled inspections of facility to include fire alarm and AED;
Performs administrative support functions;
Serves as relief for the switchboard;
Maintains and prepares various reports on office service activities; and
Other duties may be assigned as required.
High school graduation is preferred.

1-2 years prior office services support including mailroom, general administrative support and computer skills is preferred.

Individual must have good written and verbal communication skills; working knowledge of a personal computer, to include spreadsheets and have the ability to generate reports; knowledge of facility management, understanding of office support costs and able to recommend cost reductions; able to develop effective working relationships with all levels of people, to include Vulcan management, staff, vendors and building management, able to analyze and solve issues; possess valid California driver license and be able to lift up to 35 lbs.
