JOB DESCRIPTION:
To perform a wide variety of complex, or technical, clerical/administrative support work, and to perform related work as required.Under general supervision, Office Support Specialist positions perform the most complex or technical clerical/administrative support assignments among a group or section of staff, requiring thorough knowledge of a department’s operating policy and procedures.

CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES:
May include any and/or all of the following:
• Manage office supply purchasing and inventory
• Scheduling office equipment maintenance and provide liaison with service providers
• Establish procedures and routines
• Requesting updated employee emergency contact information every six months.
• Serve as a communication liaison for the Director
• Responsible for opening and sorting mail
• Screening incoming calls and emails and setting appointments with employees, customers and vendors
• Sets up and maintains office files, records, and indices using computer applications that include use of electronic mail, word processing, spreadsheets, and special data bases
• May be required to assist in setting up and managing spreadsheets and databases, produce reports, compile information and sometimes analyze results
• Coordinate meeting times, scheduling conference rooms, booking off-site meeting locations, sending out invitations, keeping track of RSVPs, creating and distributing the agenda, and arranging for food and beverage service
• Prepares correspondence, memos, reports, minutes, documents, orders and statistical data such as charts, tables and graphs from written, typed, or verbal instructions
• Takes and prepares minutes of meetings
• Assists in supervising or providing functional guidance to contract staff, interns etc. as required
• Provides courteous, high quality service to members of the public by personally responding to requests for service or appropriate referral
• Assist in managing Division’s vehicles

KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS :
• Basic clerical skills, such as transcription, typing, scheduling, file maintenance and organizational skills
• Ability to work both independently and with a team
• Ability to work with precision and accuracy in a fast-paced environment
• Ability to operate personal computer and various software packages including web-based document management systems
• Ability to maintain confidentiality
• Familiarity with office and record keeping procedures and practices
• Familiarity with current technology and trends in the profession

MINIMUM QUALIFICATIONS:
Education and experience:
High School Diploma or GED & experience that demonstrate possession of the knowledge, skills and abilities listed above. Examples of qualifying education/experience:
Two (2) years of office clerical/administrative support experience equivalent to an Office Assistant or Customer Service based position, familiarity with Microsoft Office Suite, Itxtend, and Oracle. Valid Georgia Drivers License preferred.
