G2 USA is looking for an Offline Project Manager to join our team within our Promotional Marketing Practice to help lead projects with a premier beverage account.

The Offline Project Manager is responsible for managing project life cycles from inception to completion. This person will take ownership of creating, implementing, and managing schedules across all regions and National Accounts. The Offline PM will work closely with the Account, Creative, Studio, Proofreading, Art Buying and Production teams to gather project assets. The Offline PM will schedule briefings, manage reviews, gain approvals, manage timelines, allocate resources and manage project budgets. The Offline PM is to ensure that project deliverables and deadlines are clearly communicated, understood, and expertly executed by all involved. The financial responsibility will include developing estimates, reviewing scope of work and generating monthly billing reports to ensure all are in line with what was designated and is in line with corporate approvals.

General Responsibilities:
  • Develops complex resource plans by working with staffing and capability leaders to ensure appropriate resources (internal or external) are in place
  • Works with multi-functional team, defining the overall scope of a project
  • Communicates and documents project status and strategic recommendations to team members and senior management on a regular basis
  • Ensures that sound implementation plans are developed and that each plan meets the project strategy while considering both budget and timing
  • Coordinates with other team members to monitor ongoing progress and make adjustments when required or requested by senior staff
  • Ensures that all steps in the process, from project initiation to completion (e.g., scheduling, critical milestones, submissions, etc.) as well as all financial criteria are being met
  • Provides concise and appropriate feedback on project inputs, outputs, internal processes, and quality assurance measures to the appropriate functional groups
  • Contributes and owns the project development, change management, and mechanical routing process
  • Monitors and manages allocations for assigned resources to optimize team performance and address issues as they arise
  • Superior organization and prioritization skills and ability to meet high standards for quality control and accuracy under tight deadlines
  • Passionately defends the overall quality of deliverables on assigned account; ensures the proper quality-control processes are included in every project
  • Exhibits strong listening skills and the ability to tactfully communicate position on relevant issues to reach team consensus
Financial Responsibilities:
  • Tracks and reports team hours on a weekly basis
  • Manages overall budgets on multiple projects and Initiates Change Orders and Revises budgets when needed
  • Prioritizes work in progress (WIP) with production and account teams to pull work forward and break bottlenecks
Documentation:
  • Contributes to resource allocation reports issued weekly
  • Generates weekly status reports, specification documents, Work Orders, Purchase Orders for OOP budgets and develops project plans
  • Develops and ensures potential mitigation strategies are implemented to ensure seamless project delivery
Communications:
  • Facilitates team status meetings, Kick Off meetings, Billing meetings, Resource meetings effectively Keeps Agency team well informed of changes within Scope/Production/Timing/Estimate
  • Delivers informative, clear, organized information pertaining to process and execution of Delivery materials
  • Resolves and/or escalates issues in a timely fashion
  • Understands how to communicate difficult/sensitive information tactfully
  • Knows how to diffuse a situation before it escalates before impacting team, budget and overall revenue
  • Keeps track of lessons learned and shares lessons with team members (postmortems)
  • Mitigates team conflicts and communication problems
  • Demonstrates the ability to motivate, support and understand the inner workings of different teams and departments, works well with others, and is able to keep all team members goal-focused

Requirements:
  • At least 5 to 6 years as a PM in a classical advertising agency - 3 to 4 years as a PM giving leadership to a team
  • Minimum requirements include 5 to 10 years professional work experience
  • A four-year college degree
  • Ability to manage projects in a fully competent, autonomous manner from initiation through completion
  • Comprehensive understanding of traditional print advertising but not limited to general print, direct mail, collateral, POS, POP, and OOH
  • Knowledge in MS Project & Microsoft Office Suite
  • Ability to work in a fast-paced environment
  • Expressive and communicative written and verbal skills
