The Operations Manager (OM) functions as the
professional-in-charge of the specific asset(s) under
management. As the lead professional, the OM is
responsible for all aspects of client and tenant
satisfaction. Of specific importance is achieving stated
financial results and operating objectives (capital
improvements, system enhancements, client satisfaction,
etc.) The Operations Manager reports to the clients
Property Manager and Company Account Directors.
The OM is responsible for working directly with the
client to ensure a thorough understanding and
development of acceptable property-specific strategic
plans, operations and capital budgets. The OM must
oversee the implementation of approved initiatives and
programs by coordinating the efforts of the vendors,
contractors, consultants etc.
An Operations Manager is responsible for representing
the Company at the client place of business to insure
the seamless delivery of services.
The Operations Manager will provide valuable insights
into “best practices,” and is responsible for supporting
the implementation of refined operations and maintenance
methodologies and processes that are in alignment with
the client’s objectives and strategies.
The OM will also conduct site reviews, prepare
operational reports, coordinate scheduling, logistical
arrangements, cost tracking, and provide technical
support related to varying alteration projects, which
are essential components of the position.
ESSENTIAL DUTIES and RESPONSIBILITIES Other duties may

Assist the Property Manager (or designee) to prepare the
final budget documentation (i.e., explanatory notes.)
Plans and administers budget for their respective
Inspects facilities and equipment to determine extent of
service and equipment required. Recommends, justifies,
develops and coordinates projects that enhance the value
of the office buildings.
Works with Chief Engineer to coordinate employee’s
duties such as maintenance, repair and renovation.
Obtains bids for additional work from outside
contractors, pursuant to Client’s guidelines. Reviews
construction specifications or plans and consults with,
Chief Engineers, Operating Engineers and/or engineering
Maintains role as secondary contact for tenants relative
to tenant service requests. Proactively meets with
tenant/client LOB representatives on scheduled basis.
Communicates regularly with Management staff.
Prepares MEP and/or failure analysis reports on status
of office building such as energy management, client
scarification, and contractor recommendations etc.
Prepares status reports, with the assistance of the
Chief Engineer and his team, for Client on monthly and
quarterly basis with copy to identified Managers.
Prepares periodic inventory of building contents and
property condition, and forwards listing to Property
Manager for review.
Participate in team meetings on a weekly basis to
discuss project status information and coordinate
technical task to ensure proper resource allocation and
Review project schedules for compliance with customer
specifications to identify and resolve non-performance
Oversees all operations and interfaces with the client.
Recommends capital improvement projects for client.
Assists with annual budgets, monthly variance reports
and payables related to reimbursable expenses.
Develops and implements plans and procedures covering
building maintenance and operations.
Prepares and submits budget recommendations and
exercises control over operating expenditures.
Continually evaluates all phases of building operation
and through supervision of personnel to enhance
aesthetics, the efficiency of the operation, and to
maximize cost effectiveness.
Attracts, supervises, develops, and trains a
professional team of subordinate employees in the
performance of their duties.
Maintains programs designed to enhance client relations
and ensure timely response for all client requests.
Inspects and determines the physical condition of the
building complex, and makes recommendations to the
client concerning courses of action exceeding his
Coordinates activities of client subcontractors and
polices client maintenance contracts.
Determines the adequate inventories of operating and
maintenance supplies are on hand.
Keeps the supervising Account Manager(s) informed of
developments with respect to operations under his
Approves plans and procedures for handling complaints or
requests from clients.
Analyzes and apprises regularly and systematically the
effectiveness of operations under his control.
Sees that policies are observed and that prompt
corrective action is taken as needed.
Sees that subordinates are delegated adequate authority
to carry out their responsibilities and objectives, but
that appropriate limitations of their authority are
defined and clearly understood.
Some travel may be required.
If required, will perform job duties after scheduled
hours and fulfill on-call requirements as necessary.
Adheres to the Company and Client Standards and
participates in necessary Standards training.
ADDITIONAL DUTIES and RESPONSIBILITIES

criteria. Property manuals may include, but are not
limited to, Tenant Design Criteria, Construction
Coordination Manual, Tenant Handbook, Team Emergency
Readiness Plan (“TERP”), Emergency Procedures Handbook,
Hazard Communication Program, Space Utilization Guide
and any other standard manuals.
Coordinates response to more complex tenant occupier
service requests and assures follow-up.
Establishes, communicates and manages the tenant
move-in/move-out process to minimize disruption to

and standard practices.
Manages 1 to 5 subordinate managers who supervise a
total of 1 to 20 (or more) employees each throughout the
