Bachelor’s degree or any equivalent combination of training and experience; Three years of administrative experience; Working knowledge of Microsoft Office including Excel and basic business accounting principles. Must have excellent interpersonal communication skills and ability to work independently. Professional oral and written communications skills must be superb; Ability to multi-task and work cooperatively with others. Ability to perform all tasks and job responsibilities safely without injury to self and others in compliance with A&M System and HSC guidelines.
Preferred Education and Experience:
Master’s Degree in Public Health, Healthcare Administration, or Business; Three or more years of employment experience in healthcare management, higher education, or academic medicine; Working knowledge of adult learning principles, healthcare operations, and/or academic medicine.
Serves as junior administrator in the Office of Graduate and Continuing Medical Education. As such, incumbent is responsible for composing reports, applications, correspondence, and other related paperwork in support of the activities conducted within the Offices of GME / CME and Preventive Medicine.
Serves as Program Coordinator for the General Preventive Medicine ( GPM ) Residency Program of the College of Medicine. As such, incumbent is responsible for coordinating program activities and maintaining appropriate program records as per the ACGME . Incumbent coordinates resident schedules and assists in the regular clerical office duties of the Program.
Manages basic finances of the GPM Residency Program, and the Office of GME / CME , as necessary, in conjunction with the College’s Business Office.
Maintains appropriate personnel and administrative records for the GPM Residency Program and Office of GME / CME .
Composes professional correspondence for the GPM Residency Program and Office of GME / CME . Assures the confidentiality of mail, correspondence and reports.
Serves as office manager and may train/supervise/evaluate the work of other support staff and/or student workers. Serves as a liaison for departmental equipment and service contracts and coordinates budget formation, analysis, and execution
Provides administrative support and coordination for specialized activities or projects within the Office of GME / CME and Campus. Coordinates and provides logistical and administrative support for events, meetings or other special functions, including on-site support.
Provides agendas and staffing assistance to meetings. Supervises the creation and maintenance and retention of office files and records. Prepares presentation and communication materials.
Gathers information and conducts research in support of departmental administrators. Analyzes requirements for projects and initiatives. Coordinates the composition of special reports to governing bodies and superiors.
Develops, evaluates and ensures adherence to office procedures. Coordinates and monitors office procedures to eliminate duplication of effort and to streamline flow of operations. Maintains office supplies and equipment.
