Ultimate Software is seeking a Project Expeditor to join our fast-paced PMO team. Our PMO team provides leadership and organization for key operational and strategic business projects, which typically cross multiple divisions within the company.

The Project Expeditor assists the team in achieving their objectives by performing administration and tracking, reporting and other team-related activities. This position demands strong time management and organizational skills, with attention to detail coupled with a team orientation, flexibility, innovative thinking, problem solving, and self-motivation is required for success.

Primary Responsibilities

Support the PMO team and their projects by administering and updating project plan reports, project documentation, project issue reports, and other ad-hoc reporting, as needed, to ensure accurate and timely review and communication of information within and outside the PMO team. These reports may be created using various reporting tools.

Assist the PMO Team in documenting the development cycle methodologies and supporting documents, streamline project management processes and supporting training materials.

Provide support to Project Managers within the PMO Team.

Act as Scribe for various types of project status meetings (both Team and Management meetings),

Contribute reporting information to other team managers for presentations, reports, etc.

Assist with meeting and handout preparation activities.

Provide administrative assistance for PMO team activities.

Process invoices and co-ordinate approval with accounting department. Provide tracking of expenditures to budget.

Responsible for adhering to all relevant ISO ISMS policies and procedures.


Support the PMO Team and related project status meetings as required.

Maintain an understanding of Ultimate Software products.

Maintain and understand the goals and responsibilities of the other engaged departments

Participate in regular team meetings / activities, as appropriate.

Support and assist team members in process improvements.

Database Administration activities.

Provide open, honest, and candid feedback within Ultimate Software.

Experience demonstrating strong coordination and scheduling skills

Strong hands-on experience in preparation of meeting minutes, presentations, summary documents for distribution

Strong problem solving skills

Must have working knowledge of Outlook, MSExcel, MSWord, MSProject, and Scheduling/Calendar tools.

Strong written, verbal and listening communication skills.

Experience with Project Management methodologies preferred.

Working knowledge of Project Management Tools/Reporting Tools.

Application deployment & info systems project planning.

High level of energy and enthusiasm.

Comfortable with change – know how and when to be effective, successful change agents.

Team oriented for collaboration.

High degree of organizational and time management skills, with attention to detail.

Effective negotiation, interpersonal and partnering skills.

Excellent ability to handle multiple tasks under tight deadlines.

  • Bachelor’s Degree in a related field or a combination of education and experience in a business discipline (HR, Finance, Project Management) and training.
