Creates inpatient and outpatient cases in Epic based on RIS, Rad and EWS schedules.
Enters accurate and complete inpatient reservations into the Epic system.
Reconciles cancelled and re-scheduled cases. Corrects outpatient cases and the pending part of inpatient cases.
Distributes OR source documents to appropriate pre-admitting account representatives and managers.
Process changes and cancellations, answers questions and updates representatives appropriately.
Collects patient admission information and consistently reviews data for accurate and complete information. Analyzes all data, reviews insurance and credit information as applicable. Documents clearly and concisely according to PAS protocol. Records all changes and cancellations and keeps accurate filing system.

Meets weekly goals and standards, and follows planned priorities as assigned by the IV Urgent and Pre-Certification Manager.
Prioritizes time and efforts to obtain the best result. Plans each day’s activities and addresses specific needs or issues with Manager. Communicates with Manager to prioritize workload as needed.
Cross-trains to work other special accounts, as assigned by the Access Unit Team Lead or Manager
Is open to constructive feedback from Manager. Through work quality and productivity reviews, works with Manager to identify areas for individual improvement in performance, and commits to continuous improvement and further training, if needed.
Informs the Manager on a timely basis of any problems with backlogs in work, training deficiencies, staffing shortages, customer complaints, etc. Makes constructive suggestions for improvement to the current process.
Assures that the working relationship and communication with PAS units (Access Unit, On Site Access, Financial Counseling, Pre-billing and Emergency Department) is efficient and effective. Promptly informs the Manager of any concerns that the PAS units have regarding the Reservation function.
Willing to work hours as determined by Patient Access Services Management.
Completes other duties and special projects as assigned.
Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.
Education: High School diploma or GED equivalent
Experience: Two (2) years of progressively responsible and directly related work experience
Work Experience: Minimum six months experience in Admissions & Registration related position
Analytical Skills: Able to reconcile schedules on multiple systems.
Interpersonal Skills: Ability to work collaboratively with a culturally diverse staff and patient/family population, strong customer service skills, demonstrating tact and sensitivity in stressful situations. Ability to act as a team player, to multi-task and to work in a fast paced environment.
Office Machine Skills: Knowledge of office machines, including personal computers, and an ability and willingness to learn new systems and programs. Advanced data entry/10 key ability. Experience with Stanford Epic system and/or RIS, Rad and ONTRAC systems beneficial but not required
Medical Terminology: Basic knowledge required.
Oral/Written Communication: Articulate and concise oral communication; ability to write clearly and concisely.
