POSITION PURPOSE

The Patient Coordinator Supervisor is a working patient coordinator also responsible for overseeing the planning, organizing and coordinating daily operations to ensure quality patient care and streamlined access of service for all medical oncology patients. Responsibilities include hiring and managing staff, providing administrative and clerical services, input into process improvement, and overall coordinating proper patient access and flow. The Patient Coordinator Supervisor also conveys a positive image of the clinic and exhibits values of respect, integrity, innovation, and compassion.

The Patient Coordinator Supervisor works under the general supervision of the Director of Patient Financial Services.

SUMMARY

All employees are expected to perform their duties and alignment with policies and procedures and Mission, Values, and Vision of Beverly Hills Cancer Center (BHCC). The person doing this job is responsible for a variety of tasks that lead to a high level of customer satisfaction with respect and dignity.

ESSENTIAL FUNCTIONS

Responsible for all aspects of patient coordination and access to service activities on a daily basis. Oversee the planning, organization, directions and schedules of all medical oncology patient appointments and access to service. Facilitate work effort to bring continuous process improvement to related functions. Develop, implement, and maintain all related policies and procedure. As a working supervisor, assist in performing patient coordination functions. Responsible for the directing and supervising of staff and all technical and clerical aspects of patient coordination including authorization for service, patient satisfaction and problematic issues as they arise. Supervise staff on a daily basis. Role includes hiring, schedule, monitoring productivity standards, departmental training, approving time off, processing payroll, performance appraisals, disciplinary actions, and exit paperwork. Assist the accounting department by approving all departmental bills for accounts payable and keep comprehensive records. Be compliant with organizational policies and procedures and related departmental procedures. Other duties as assigned by Supervisor. ORGANIZATIONAL FUNCTIONS

Be compliant with organizational policies and procedures and related departmental procedures. Develop, implement, and maintain all related policies and procedures. Follow all HIPAA regulations as outlined in the HIPAA Policy and Procedure Manual. Enhance patient, public relations by providing efficient and courteous service to all guests, clients and staff and contribute positively to the team approach of BHCC. Collaborate with leadership in the development and implementation of specific operational objectives to provide cutting edge patient focused clinical care. Serve as a resource person by knowing, understanding and implementing BHCCs practice and procedures; provide orientation to new members of BHCC. Serve as an information resource for employees, assembling appropriate reference materials to help them perform their work more effectively. Ability to maintain a high level of accuracy and confidentiality concerning financial and employee files. Provide a strong alliance and act as a liaison with medical staff (including physicians) and ancillary departments of BHCC. Coordinate with marketing representative and contribute to overall facility public relations and marketing efforts. Maintain a clean safe working environment. PERFORMANCE REQUIREMENTS

Knowledge, Skills, Abilities

Current Cancer Center and Imaging practices and protocols related to patient coordinator and access. Common safety hazards and precautions to establish/maintain a safe work environment Personnel development, management and dealing with issues Identifying problems, researching, and recommending resolutions. Computer operation and EMR Effective and professional working relationships with patients, medical staff, and the public Planning, organizing, prioritizing and supervising the work of others Ability to react calmly and competently in emergency situations Excellent oral and written communication Work with multiple people towards a common goal including actively engaging physicians in business growth and marketing strategies, clinical care and quality improvement opportunities, revenue enhancement and cost reduction opportunities. Promote and enforce a strong and positive corporate culture for the Center. Establish strong working relationships with management, clinical and support staff, and physicians throughout the Center. Ability to multi task and promote teamwork
