This position is responsible for assuring smooth operation of the clinic patient flow and serves as the primary contacts for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees in this classification receive general supervision. Most work is performed according to established procedures; problems of an unusual nature are referred to supervisor. Ability to communicate effectively internally and externally. Ability to understand and follow instructions. Work is performed in usual clinic conditions and requires a high degree of contact with patients, HSC staff, and insurance companies. Employees have cash handling responsibilities.
Position Specific Qualifications:
- Providing excellent customer service to anyone that calls or walks into the clinic.
-Registers and schedules appointments for office visits accurately.
-Retrieve patient accounts, verifies and updates FSC , general comments, obtains copy of managed care plan and /or insurance information.
-Cashiers. Responsible for collecting patient payments, and preparing and reconciling daily deposits.
-Assists in entering Faculty and Resident clinic schedules.
-Assists in training existing or new employees in the registration and processing of patients or in any other job related duties.
-Cross trains within the different areas and/or Pediatric Clinics.
-Arrives and No-shows appointments on a daily basis for the end of the month statistics.
-Plus other clerical duties as assigned.
-Receives incoming calls promptly.
Knowledge of basic office equipment and computer skills. Knowledge of the various managed care plans and private insurances. Knowledge of referral process. Able to be Bonded, Professional Telephone Skills, Ability to interact effectively and efficiently with others; ability to work in a busy environment; ability to understand and follow instructions; some familiarity with medical procedures, ability to communicate effectively and professionally with a variety of people. Must be able to show proof of liability auto insurance and a driver license. Willing to work extended hours and on occasion on Saturdays and TTUHSC Holidays.
Travel to other locations within the Pediatric Department for Office coverage
A minimum of a high school diploma or equivalent.
- At least three years of general office experience.
- At least one year of general office experience in a clinic or physician’s office.
- At least 90 days service at TTUHSC as a Patient Services Trainee, documented completion of all relevant IDX training and a recent performance appraisal on file with a rating of meeting or exceeding expectations.
