This position is responsible for the payroll function at Square, including training and mentoring team members, developing scaleable payroll processes, and ensuring the accuracy of all payroll data and timely deadlines. The Payroll Administrator is responsible for the design and administration of the company’s pay, time and attendance payroll systems, employee and related external interface, process improvements and best practices, proper internal controls and audit of recordkeeping and reporting. This position provides accounting and project management support to Finance.
Support and coordinate with Finance and Human Resources on Accounting, HRMS, Benefits, and Time Management system implementations and improvements.
Lead, manage and scale a payroll team to ensure a seamless payroll function.
Be an interfacing contact for employees for time and attendance and payroll training, inquiries, issues and adjustments.
Oversee scaleable payroll processing and maintaining payroll information as required:
Oversee accurate data entry for all time and attendance and personnel transactions such as new hire, termination, leave of absence, benefits deductions, garnishments, etc.
Conduct vendor transactions including, flexible spending, 401(k), HSA, etc.
Assure compliance with State, Federal and local tax requirements, including quarter and year-end reconciliations.
Conduct gross to net calculation, audit and balancing.
Design, prepare and maintain related accurate payroll records and reports.
Design, implement and document workflow and work procedures that is control focused and auditable, and scaleable in an evolving environment.
Works closely with Human Resources and assists with HRMS implementation, testing, maintenance, and security, and ensure workflows into payroll systems are sound and efficient.
Research and resolve system problems, perform scheduled activities, and liaison with service providers.
Prepare and maintain standard and ad hoc reports, queries, and conduct appropriate audits to ensure data integrity.
Prepare and support external data and census requests.
Provide accounting support to Finance personnel.
Review and approve Expense Reports and other reimbursements.
Perform other accounting and reporting as needed.
Coordinate and lead efforts to continuously improve, scale and implement new payroll systems, including research and evaluate vendor offerings, supervise implementation and testing, identify and diagnose problems, and evaluate system specifications to meet the needs of a robust payroll system.
The desired candidate must be highly analytical and inquisitive with a keen attention to detail. The candidate must have strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system. The candidate must also understand payroll and tax withholding compliance obligations.
The candidate must be able to work in a collaborative environment. Strong communication skills are required. The ideal candidate will be a process-oriented individual who is also flexible enough to thrive in a startup environment. Candidate must have a strong work ethic and excel in a fast-paced environment.
Minimum 3+ years multi-state of relevant experience, with a Bachelor’s or equivalent degree.
Working knowledge of ADP WorkForce Now/PayExpert. ADP Time & Attendance platform a plus.
Experience in a high tech growth startup is a plus
