The Payroll Administrator is primarily responsible for the processing and coding of payroll related transactions under the supervision of the Director of Accounting to create the proper segregation of duties with respect to payroll and human resources related transactions. This individual is also responsible for recording, analysis, reconciliation and reporting of all current assets, custodial accounts, revenue and deferred revenue.
Timely, accurate processing of payroll for Friendship Public Charter Schools (Community Office and its schools)
Daily update of etime with changes updated from HRB to pay expert
Biweekly Payroll reports on all deductions, substitutes, stipends, overtime, part- time, 403b, and listing of all employees paid.
Participate in month end close procedures as it relates to payroll
Critically review and analyze payroll information to detect errors.
Provide key contacts information from critical leadership, including the CFO/Director of Talent, regarding payroll developments and changes
Provide payroll related journal entries to Accounting for input
Conduct pre-audits, as requested
Respond to inquiries by Finance Department regarding payroll variances, exceptions for their financial statement analysis work
Work with all staff on their payroll related questions/issues
Assist in documentation and monitoring of internal controls related to payroll
Maintain payroll files both online and paper
Assume other activities and responsibilities from time to time as directed
Prepares daily cash reports
Weekly bank and cash reconciliations
Records all deposits
Makes initial detail journal entries for grant related transactions
Prepares payroll grant reclasses for all grants and stipends
Meets weekly with Grant Manager to reconcile and review grant related transactions
Participates in monthly close by updating and reconciling all bank accounts, A/R sub ledger to A/R general ledger, aged grant receivables, advances, deposits, and deferred revenue.
Records and reconciles all FPCS revenues
Bachelors Degree in Accounting preferred
Ability to maintain confidential information
3 or more years accounting and payroll experience
Experience in the charter school or education industry a plus
Highly detail oriented and organized in work
Ability to meet assigned deadlines
Proficient with ADP,GP, email and Microsoft Office applications, required
Excellent communication and interpersonal skills with a customer service focus
Once trained in an area must have the ability to act and operate independently with minimal daily direction from manager to accomplish objectives
Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, creativity, problem solving, and results.
