The Payroll Specialist is responsible for all aspects of processing a multi­state payroll, the creation and maintenance of payroll reconciliations and ad hoc queries, managing payroll related vendor relations, and serving as the liaison between human resources and finance teams.

Work Activities:
  • Provides support to employees with time and attendance system
  • Responds to payroll inquiries and troubleshooting issues
  • Audits timesheets for compliance with employment laws and company policies
  • Prepares and deposits federal and state tax deposits
  • Ensures systems are correctly set­up and updated to reflect current employee base
  • Processes manual checks and supplemental payroll as needed
  • Administers employee garnishments including setting up, reporting, reconciling, and entering payments into account system for payment
  • Supports 401(k) process on a weekly basis
  • Processes employee changes for multi­state payrolls
  • Reviews payroll related new hire paperwork to ensure correct payroll setup
  • Processes flexible spending account payments and reconciles general ledger on a monthly basis
  • Reviews and audits canceled or stale dated checks against bank register
  • Audits benefits deductions as needed
  • Reconciles and performs year­ end payroll audit
  • Reviews annual W­2 files and submits for approval

Minimum Requirements:
  • Must have 3-­5 years work experience in HRMS and an in depth understanding of payroll processes and accounting systems
  • Bachelor’s degree in accounting, finance or related field
  • Knowledge of federal and state local payroll/labor laws, IRS regulations, and local employment and payroll taxes
  • Proficient in Microsoft Excel
  • Gross to net calculation skills
  • Adept at performing payroll reconciliations
Preferred Requirements:
  • Experience with UltiPro and Great Plains
  • Federal Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation
Job Context:
The Payroll Specialist spends the majority of time executing work related to the accounting department. The workday is spent in a climate-controlled office with 8-10 co-workers. Physical demands are minimal and sitting is required for most of the day. Work hours are Monday-Friday from 9:00am to 6:00pm. Psychological stress is usually low but becomes moderate when dealing with time restrictions for projects.
