Simon Pearce, a leader in the design and manufacturing of hand blown glass and hand-made pottery is looking for an organized, motivated, part-time Administrative Assistant. The Administrative Assistant provides support, including, but not limited to: bookkeeping, travel arrangements, coordination of phone, mail and email correspondence, file maintenance and special projects support. The Administrative Assistant will report to the Executive Assistant to the CEO and will be based out of our Windsor, VT location with some travel and schedule flexibility required.

Primary Responsibilities

Manage accounts payable and reconcile accounts in QuickBooks
Administer biweekly payroll and manage annual budget
Organize annual tax documents and corresponding payments
Maintain contact database and coordinate periodic mailings, including holiday gifts
Arrange detailed domestic and international travel plans and itineraries
Maintain both electronic and paper files
Proactively manage calendars and appointments, etc.
Prepare confidential correspondence, reports and other complex documents
Manage all forms of communication and correspondence and respond independently when possible
Act as a project manager for special projects to support all business partners as necessary
Other duties as assigned

Skills and Qualifications

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Bachelors degree preferred
Three to five years related experience and/or training; or equivalent combination of education and experience
Accounting and bookkeeping knowledge required with QuickBooks experience preferred
Advanced proficiency in MS Office (Word, Outlook, Excel & PowerPoint)
Ability to use Mac devices (Macbook, iPhone, iPad, etc)
Excellent organizational, multi-tasking and prioritization abilities
Outstanding service orientation and proactive problem-solving skills
Ability to work under deadlines and to be flexible
Possess a high level of interpersonal skill to handle sensitive and confidential situations
Must be able to interact and communicate with individuals at all levels of the organization, both internally and externally
Position continually requires demonstrated poise, tact and diplomacy
