The Photo ID Officer requires outstanding public relations, customer service, communication and Multi-Tasking skills. These skills will assure the company employees and contractors are dealing with a well-organized company and will create lasting impression.
Photo ID Officer is to be courteous, efficient, and effective. The Photo ID Officer should respond to email and tickets in a timely manner and should enforce all company policies diplomatically when necessary. The expectations for this post includes that the Officer be able to work under minimal supervision, take initiative, follow directions/protocol, be self-sufficient, and solve customer issues with diplomacy and tact, as well as using good judgment when making decisions.
The theme for badging must be all about customer service. Simply put, an employee cannot perform his/her work if they cannot access their work areas, so we should endeavor to process all Access/Badges requests as quickly as possible.
Check emails and trouble tickets related to all badge requests, access requests, or any key requests.
Keep track of Vendor badges, employee and contractor terminations.
Assist with Security management on enforcing policies and procedures.
Interact with a variety of persons including but not limited to clients, visitors, public safety officials, and employees.
File and archive documents regarding Vendor Badges, Keys and Contractor Badge Policy forms.
Answer incoming or internal calls from staff members.
Monitor security alias and escalate email to Management as needed.
Create new badges for new hires on orientation or a specific date scheduled.
Send out weekly New Hire notifications / reminder email template to the Hiring Managers.
Seek proper access approval from Area Owner when someone requests access to Labs and Special Projects.
Help Management maintain complete and correct Area Owners list.
Assist Reception with reception duties when needed and Reception Area Conference rooms and Interview Rooms
Conduct monthly badge supply inventory.
Conduct daily key/vendor badge inventory and escalate to the shift supervisor if there is anything missing.
Request new or replacement building badge from Prometheus property management.
Create trouble tickets for badge request, access request; remove badge access request, and projects.
Report writing when necessary for any emergency situations that arise on facilities.
Advise area owners on any restricted lab access request approval.
Conduct and provide support for all badge related projects.
Insure badging processes and procedures are followed.
Troubleshoot any badge related issues on the Lenel System.
Inform any discrepancies or issues with the badging process to security management.
Assist Shift Supervisor as needed.
Photo ID officer will maintain access control standards according to the Lab126 standards.
Own, drive and manage all Photo ID process and related policies.
Must be able to effectively communicate (oral and written) with all employees, contractors and vendors
Self-starter and team player
Understand and follow oral and written instructions
Ability to prioritize and manage multi-functional tasks
Ability to work effectively under pressure, and against strict time constraints
Possess and maintain a working knowledge of Passage Point Global v10, PDF, Microsoft Outlook, Excel, Word, On Guard Access Control System and Power Point
Possess prior Photo ID and access control experience
