Job Summary: Oversee daily operations regarding the UTP process. Ensure that nightly patient listing is received, screened, patients are invited, and patients pended for screening or corrections are processed within turnaround standards. Work the system queue to overcome errors and ensure that requests to join are answered in a timely manner. Take incoming calls to troubleshoot for patients with clinical issues.
Work with providers to amend records. Compile and report metrics and complete compliance reporting on HIPAA/HITECH violations. Job Relationships: Reports directly to the Privacy Operations Manger. Works closely with Clinic Management, Privacy Auditors, and interdepartmentally with staff involved in screening records.
Work with Jardogs and IT staff with reporting issues and upgrades. Work Environment: 1 Normal office environment. 2 Some travel required. Principal Responsibilities: 1 Verification of information for patients 2 Ensure that all ongoing reports relating to portal functions are run on schedule and available to staff as needed.
3 Ensure proper chart screening prior to enrollment. 4 Process or deny invitations for interested patients within turnaround standards. 5 Maintain database of patients 6 Maintain dashboard settings for "provider off" and documents on/off. 7 Maintain messages as appropriate to invitation function.
8 Mitigate HIPAA violations (required by law within 30 days) associated with portal, notify patient, required reporting to HHS. 9 Evaluate and process all requests for in-person chart review, requests for amendment (required by law within 30 days). 10 Maintain Compliance Committee reporting related to portal issues. 11 Maintain and report metrics recorded by the all silos relative to portal functions.
12 Ensure continuity of portal operations in Manager's absence. 13 Comply with the UT Clinic incident reporting policy and procedures. 14 Adhere to all OSHA and Springfield Clinic training & accomplishments as required per policy. 15 Provide excellent customer service and adhere to UTP customer service philosophy.
16 Perform other job duties as assigned. Qualifications/Knowledge/Skills: 1 High school diploma or GED equivalent required. Some college preferred. 2 Proficiency in Microsoft Office, IDX and Touch Works required.
3 Must be able to multi task and maintain flexible schedule. 4 Ability to travel on occasion. 5 Business writing and customer service skills required. 6 Knowledge of confidentiality and privacy concepts desirable.
7 Ability to analyze workflow patterns and implement new procedures to increase efficiency.
