Internal client service and creative team coordination of print projects from conception to completion
Preparing specifications, requests for quotes, selection of appropriate vendor services, negotiation for best pricing and scheduling
Travel to vendor locations for press ok to maintain color standards and creative integrity
Building vendor relationships, research and evaluate emerging technologies, and coordination of vendor knowledge share forums
Documenting and reporting transactions for business management
Full accountability in the exercise of production procurement strategies that results in both short-term and long-term commitments. Guidance is provided through corporate policies and departmental procedures
Accountability for vendor performance and cost containment
Maintain accurate and detailed records of all transactions Occasional travel to vendor locations to inspect, review and coordinate projects
Normal office hours, with frequent overtime as necessary. Local travel for press checks and nationwide travel when needed
Responsible for the creation, maintenance and delivery of detailed project plans
Identifies and scopes client requirements and deliverables
Create goals and milestones that correlate to billable events within a project
Identifies, documents, and manages scope or deliverable change requests required whether initiated internally or by the client
Tracks all budget-related information, including billable hours and project expenses
Ensures the success of the project while remaining within the scoped time and budget
Properly notifies the internal team of any risks, weaknesses or opportunities that could impact the success of the project, escalating to upper management as appropriate
Plans for and controls quality by reviewing items before delivery to client; monitoring and enhancing internal and external deliverables/documents; working with internal teams on needed revisions/enhancements, and involving the Quality Assurance team at key project junctures including external vendor QA
Participates in and completes training and professional development as detailed within department
Maintains an understanding of the client’s operating environment and internal processes and procedures that may affect the project’s success
Ensures the use of best practices and apply lessons learned from previous projects; share lessons learned with other project management team members
Accept other responsibilities/duties as assigned

7+ years of direct mail print-industry production management
Direct mail production management, pre-press, bindery, data processing, laser imaging, letter shop, mechanical color separations and US Postal mailing specifications.
Experience in procurement or purchasing
Experience in dealing with print and fulfillment vendors
Must have extensive knowledge of all types of print processes and industry terminology
Have a strong print and fulfillment purchasing background with the ability to communicate, solicit and negotiate bids to vendors
Accountability for vendor performance and cost containment
Knowledge of envelopes and papers used in press and digital print processes including brands, construction, quality, weights, characteristics and pricing
Ability to manage individuals within a team as well as work independently
Able to prioritize work, multi-task and stay on schedule for multiple and parallel campaigns
Able to document/communicate client/agency needs and relay information to vendors and internal operational areas
Maintain accurate and detailed records of all transactions
Strong dedication to customer service and attention to detail
Knowledge of data processing as it relates to lettershop services
Working knowledge of Microsoft project preferred but not required
