Terms: 3 Months-Open-Ended Contract
Pay Rate: Negotiable based on experience and/or market rate.
This position is responsible for supporting a variety of entry level sourcing and procurement responsibilities, as well as providing general administrative support to the Sourcing and Procurement teams.
•Process material requests and purchase orders.
•Utilizing standard templates, prepare: requests for proposal (RFPs), supplier contracts, and related sourcing documentation.
•Organize and file contracts, amendments, and supporting documentation, including scanning documentation and posting to an electronic repository.
•Track certificates of insurance submitted by suppliers/contractors and monitor due dates for insurance renewals. Follow up with suppliers and insurance companies for expired certificates.
•Serve as gatekeeper for supplier inquiries and ensure that responses are provided within assigned due dates.
•Prepare and send communication to business owners on upcoming expirations and/or funding limits.
•Support Procurement Analyst in preparing monthly reports.
•Review/audit contract files to ensure documentation is accurate and complete.
•Provide general administrative support for the Sourcing and Procurement team including: typing, filing, spreadsheet creation, organizing meetings, preparing documentation for meetings.
•Prepare contract, purchase order, and administrative files, and maintain file documentation according to the document retention and control policy and procedure
•Track and manage supplier insurance certificates including initial validation, monitoring due dates for insurance renewals, and following up with suppliers and insurance companies for expired certificates
•Coordinate and organize meetings, schedules conference rooms, and maintain organization’s business equipment.
•Order office supplies and business equipment supplies
•Prepare various correspondence and email communication to support the needs of the organization
•Initiate, compile, and prepare various weekly/monthly/quarterly reports timely and accurately
•Document minutes of meetings, capturing action items and individuals responsible for the action items
•Education – College hours leading to degree; Bachelor’s degree a plus
•Minimum of three (3) years of administrative experience required.
•Minimum of one (1) year of procurement experience highly desired (e.g. supporting purchasing, contract administration, and/or supplier sourcing processes).
•Application Skills – intermediate skills in Microsoft Word and Excel; experience with Microsoft PowerPoint a plus.
•Solid knowledge of general business principles and practices, and experience working in a corporate setting (understanding of corporate culture and protocol; ability to effectively interface with various levels of employees and management; professional appearance and demeanor).
•Strong written and oral communication skills.
