As a member of the Student Services Division, Women’s Programs/WorkFirst Services, the Program Assistant position reports to the Director of Women’s Programs/WorkFirst Services.

Under general supervision, the Program Assistant provides administrative and program support for Women’s Programs/WorkFirst Services. This position functions as a program representative and resource, having extensive contact with program participants and other on and off campus entities, and resolves problems within a delegated area of authority.

This is a classified (32 hours per week) benefit-eligible position. The hours at this time will be Monday through Thursday from 8:00 a.m. to 3:00 p.m. and Friday 8:00 a.m. to 5:00 p.m. Hours will normally be scheduled on a regular basis, but adjustments may be called for due to operational necessity.

Essential Tasks:
Reconcile multiple budgets using on-line budget reports.

Monitor and reconcile grant expenditures using multiple linked Excel worksheets.

Assist with monitoring grant spend-down according to block grant guidelines.

Track and reconcile tuition and books expenditures.

Understand, interpret and implement federal, state and college grant policies and operation procedures.

Collaborate with other departments regarding policies and procedures for Women’s Programs/WorkFirst Services.

Build rapport with students, assist with some guidance regarding classes and degrees, and explain WorkFirst polices and procedures.

Schedule appointments, meetings and travel for Director of Women’s Programs/WorkFirst Services.

Prepare registration, training, travel documents for Director and department staff of Women’s Programs/WorkFirst Services.

Prepare Material Service Request (MSR) and/or POs for travel, goods and services as well as open order for Bookstore account and track usage.

Responsible for opening Women’s Programs/WorkFirst Services office during regular business hours.

Oversee schedules, training and provide direction to Women’s Programs’ front desk staff student workers.

Provide support to front desk coverage, phone coverage and schedule appointments.

Compose forms, documentation and materials related to Women’s Programs/WorkFirst Services.

Oversee paper and electronic student files and database entry.

Work with Director and staff to coordinate and arrange events and workshops.

Compile and distribute information relative to program activities to the campus and students.

Update and maintain bulletin boards, resource display racks, notebooks and files.

Inventory and order office supplies and print orders.

Maintain department archives.

Submit copier repairs, order toner, and troubleshoot paper jams.

Ability to use Excel, including using complex functions to perform budgetary and report responsibilities.

Ability to independently manage and prioritize multiple tasks and deadlines.

Demonstrated effective organizational skills.

Ability to maintain budgets, coordinate travel arrangements and order supplies and equipment.

Demonstrated commitment to maintaining confidentiality with sensitive documents, communication, and records.

Ability to use computer skills using Microsoft Office Suite.

Demonstrated understanding and appreciation for the community college mission.

High school graduation or equivalent AND two years of full-time clerical experience
Equivalent education/experience.

An Associate's Degree in Project Management, Administrative Management or Administrative Assistant.

Bilingual skills.
