This position is primarily responsible for providing administrative support to the Department's "Programs in Public Health" (PPH) graduate degree programs Master of Science in Epidemiology and Biostatistics (MSEB) and Master in Public Health (MPH).
Answer questions and provide information to prospective students, current students and faculty; provide customer service to students and faculty; assist in admissions process for both graduate program (MPH & MSEB) by working closely with Associate Director for Admissions and Graduate Affairs helping to process applications and maintaining applicant files.
Arrange & schedule meetings; transcribe minutes and prepare agenda for PPH Executive, PPH Evaluation, PPH External Advisory, and MSEB Admissions committees; transcribe minutes and prepare agenda for Faculty retreat; assist with various projects special tasks for committees; maintain files.
Assist in coordination of PPH class scheduling on a quarterly basis: send out instructor packets in preparation for start of quarter; request syllabi; reserve classrooms; order books, course packs copyright clearance, AV equipment; provide classroom support set-up as needed; set-up and maintain online Blackboard course management system; help students with registration issues.
Prepare and administer online course evaluations; prepare course evaluation reports for dissemination to curriculum committee on a quarterly basis
Publish quarterly Newsletter.
Assist in tracking PPH expenses, process account payables and help reconcile budget statements monthly; order supplies
Provide administrative support to all program staff. Attend weekly administrative meetings. Provide back-up support for other department support staff members as needed. Perform other duties as assigned by supervisor.
A high school diploma and three or more years experience in an administrative support role or the equivalent combination of education, training and experience from which comparable skills can be acquired;
A bachelor's degree or the equivalent combination of education, training and experience from which comparable skills can be acquired;
Experience working in an academic setting with students and faculty and knowledge of University procedures preferred.
