The Executive Education department in the University of Utah David Eccles School of Business ( DESB ) delivers world-class executive education and custom solutions to businesses both within and outside of Utah. The department is a revenue-generating unit within the school, with a fast-paced, professional, customer-focused and results-driven culture.
The DESB is seeking a talented, energetic professional to coordinate the open enrollment and custom programs for the Executive Education department. Reporting to the Associate Dean of Executive Education, this position is responsible for the quantity and quality of the department’s open enrollment programs, ensuring rigorous, highly relevant programs are flawlessly delivered. The goals of this position include: exceeding client, student and faculty expectations; strengthening relationships with leading corporations, government agencies and non-profit organizations; and delivering substantial net income to be reinvested to support teaching and research at the DESB . The Program Coordinator of Executive Education will oversee all aspects of non-matriculated programs, including: coordinating custom and open enrollment course fulfillment; developing new custom Executive Education courses; coordinating and maintaining an annual program calendar; maintaining existing and building new relationships with potential Executive Education clients.

Assists in the fulfillment of open enrollment and custom programs by providing logistical support before, during and after each program. Provides participant and curriculum support to a wide range of faculty and programs. Maintains a high level of professionalism, facilitates teamwork and focuses on customer service. For programs both on- and off-site: assists in registration, coordinating meals, answering questions, directing participants, collecting and organizing course materials, and more as required. Contributes to the improvement of programs as well as the streamlining of department processes and procedures. Responsible for tracking all applications and registration information, updating the database with participant statuses, generating status letters, communication with applicants, and more as needed. Plans and hosts special program events.
Prepares and distributes materials. Posts advance readings, schedules, and other pertinent course information on course web page. Works directly with faculty to collect and coordinate readings, handouts, media request and simulations. Collaborates with faculty on development and distribution of program schedule and other materials as necessary, including program documents and premium items.
Responsible for assisting in the attainment of department revenue goals by generating interest, securing registrations and closing new sales to increase participation in DESB Executive Education programs. Focuses on establishing relationships and maintaining frequent communication with participants, key executives and decision makers within the organizations. Engaging with corporate partners to sell and deliver Executive Education programs. Collaborates with Associate Dean to maintain website and write/edit program-related publications and promotional materials. Responsible for assisting with proposal development, including: documentation, evaluation and follow-up.
Provides administrative support and participates in decision making with the Associate Dean, covering all aspects of open enrollment, custom and corporate programs. Oversees daily program operations and coordinates program activities. Monitors program quality and effectiveness, researching improvement methods. Prepares reports, financial statements and records on program status/progress for management and outside agencies. Manages and submits financial documentation in support of aforementioned program activities. Assists in program close-out and reconciliation activities. May assign, direct and review work of support staff.

-Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals
-Greets visitors and communicates with customers, employees and other individuals to answer questions, disseminate information and address concerns
-Responds to queries from and coordinates activities with other departments, the community and program partners
-May track and report on current trends to determine future program needs
-May assist in supporting other areas of department as needed
-May be cross-trained in other programs in Executive Education department
-Other duties as assigned
Incumbents in this position are expected to be familiar with department and University policies, procedures and organizations and be able to answer and assist staff and visitors. Incumbents are also expected to demonstrate sensitivity to the needs of others and express a willingness to support staff, faculty and participants.
Associate’s degree in a related field, or equivalency, plus two years of related experience required; ability to use logic and reasoning to prioritize tasks; computer skills including word processing, spreadsheet software, and/or database software preferred; demonstrated human relation and effective communication skills also required.
Bachelor’s degree in a related field may be preferred.

Two to four years of administrative experience, preferably in an academic setting, or equivalency; the ability to work independently and pay close attention to detail; developed organization skills; the ability to make independent judgments and to act on decisions; able to work on several tasks simultaneously and meet concurrent deadlines; strong interpersonal skills in working with executives, faculty and students; entrepreneurial ambition to help build Executive Education business and the DESB .
