The department of Steward Observatory is seeking up to 1.5 positions (1 full time, 1 part-time) to work with the department's Grant/Contracts Administrator in the Business Office on proposal submissions and grant management/administration. Duties include a combination of pre-award and post-award processing activities dependent on proposal cycles. The Steward Observatory Business Office is a fast-paced, deadline-driven environment and handles the majority of pre-award and post-award functions for the department, including proposal/budget review, contract/grant review, grant administration, processing/submission of research grant proposals, and customer service. The successful candidate must have the ability to accurately handle a high volume of administrative and accounting duties and be able to prioritize those duties as well as possess the ability to effectively communicate with a variety of people. Duties and Responsibilities
Pre-Award Duties: *Assist with the preparation and submission of proposals through various systems, including: NSF Fastlane, NASA NSPIRES, STScI's STGMS, and Grants.gov. *Entering/updating proposals and awards in multiple databases, including Excel and IT Works (department's accounting system). *Advise faculty/staff on sponsor and University proposal routing procedures and regulations. *Assist faculty/staff in the development of proposals with emphasis on budget preparation and the interpretation of sponsor agency guidelines to ensure compliance with sponsor, federal, state, and University requirements. *Assist with the submission of proposals and follow up on award status. Post-Award Duties: *Assist with the set-up of new and close-out of terminated accounts in accordance with established procedures. *Assist with the processing of award modifications, including initiating continuations and extensions and reviewing/approving actions in UAccess Financials. *Assist with establishing/tracking subcontracts and payments. *Generate weekly report and status review of account deficits. *Assist with cost-share tracking and reporting on sponsored accounts. *Prepare error corrections and salary expense transfers. *Advise faculty/staff and others regarding proposal and grant/contract activities, providing problem solving assistance and policy interpretation as necessary. *Follow up on status of interim and final technical reports. *Prepare periodic reports, financial statements, or other special ad hoc reports/forms for sponsor, program, and financial managers, utilizing University and department accounting systems. *Evaluate activity of sponsored accounts to ensure compliance with both sponsor and University regulations, advising and assisting faculty and staff regarding procedures, developments or account status, such as upcoming termination dates, overspending or clearing deficit accounts, and requesting no-cost extensions. *Assist with and/or prepare budget projections. *Supervise work activity of student employee(s). *Assist with the filing of award documents and financial reports, and overall maintenance of grant files system. *Additional duties as assigned
Arizona Board of Regents Minimum Qualifications
Bachelor's degree in field appropriate to area of assignment AND two years of administrative/coordinative program experience; OR, six years of progressively responsible administrative coordinative program experience; OR, any equivalent combination of experience, training and/or education.
Additional Minimum Qualifications
- Ability to prioritize workload to meet work unit operations. *Experience in processing research grant proposals. *Knowledge of grants/contracts administration *Ability to effectively communicate with a variety of people. *High level of organizational skills *Ability to handle an environment with deadlines and heavy workload. *Knowledge of PC applications including spreadsheets, word processing, internet file uploads, PDF forms and e-mail.
Pre-employment Screening Requirements
- Experience in submitting proposals through FastLane, NSPIRES, and Grants.gov. *Experience with the UAccess Financial System.
