CSG is currently searching for a Program Operations Supervisor for our Albany, NY office. This position reports to and works under the direction of the Program Operations Manager for Conservation Services Group, Inc (CSG). The primary responsibility of the Program Operations Supervisor is to successfully manage CSG’s implementation of the Green Jobs Green New York Constituency Based Organization (CBO) Initiative.
The candidate will be responsible for the day-to-day oversight and supervision of administrative staff in the processing of transactions, program reporting, problem solving, financial and budget analysis, scheduling and tracking of program data and customer, CBO, and client service delivery. Ensures quality, accuracy and timeliness of administrative services and program requirements. Supervises the interactions of staff with customers, contractors, program and field staff and client representatives and program staff.
The Program Operations Supervisor will be responsible for:
Coordinates daily workflow, schedules and assigns work to meet program requirements and deadlines. Tracks and manages attendance and approves timesheets.
Oversees the daily, weekly and monthly transactional requirements of the program. This may include billing, incentive processing, scheduling of field staff and tracking program results. Supervises the transaction process, ensuring timeliness and quality of results.
Input, verify and correct data for monthly program reporting requirements. Check data file for completeness. Prepare monthly reports, both internally and to the client, as required to meet program specifications.
Works within established program guidelines, referring exceptions to manager. Documents process flow and program procedures. Ensures staff is trained and consistently following program requirements.
Prepares and reconciles program operational invoices and reports as scheduled. May design new reports for internal or client use. Completes cycle reconciliations as required.
Trains, coaches and supervises program coordinators in the completion of daily tasks.
Facilitates problem resolution with client, customers, programs, or constituency based organizations as needed. Refers sensitive client, customer, or organization issues to manager.
May contribute to and track budget and expense transactions. Reconcile program hours for client billing.
B.S. Accounting, Finance, Business Administration or equivalent experience.
Knowledge and understanding of the energy efficiency industry and demonstrated success with utility and/or state program management and client service in the field of energy efficiency or related industry desired. Experience with community outreach a plus.
3-5 years experience in financial or technical operations.
Demonstrated experience leading others or working through others to achieve results.
Excellent project management, problem-solving skills. Tracking, data management and reporting experience. Previous experience tracking performance metrics.
Excellent customer service, organizational and communications skills. Highly organized with the ability to multitask, prioritize, and problem solve in a deadline driven environment. Ability to work in a group environment, balancing multiple tasks and deadlines. Attention to detail and accuracy in all aspects of work.
Proficient with Microsoft Office suite software. SharePoint experience a plus.
Strong interpersonal and project management skills.
Detail orientation and ability to balance multiple tasks and deadlines.
Salary Range: Commensurate with experience
