Provide administrative and programmatic support to the Virginia Vaccines for Children (VVFC) program director and staff in the administration of the Prevention and Public Health Funds (PPHF) cooperative agreement, Storage and Handling Grant. Ensure that grant objectives are met by creating organized methodology for capturing statewide vaccine handling and storage survey data and tracking progress towards prescribed survey timelines. Establish efficient workflow processes to maintain, document and track activities. Input survey responses into the database and maintain electronic tracking mechanisms to ensure that survey responses are on-time, comprehensive and accurate. Serve as a liaison with field staff, providers, and business unit staff, responding to requests and obtaining information as needed. Coordinate efforts related to continuous temperature monitoring for VVFC providers, communicating protocols and ensuring protocols are followed. Coordinate discussions related to establishing policies, procedures, guides, and training deliverables for PPHF Grant objectives. Perform other support functions as needed, including conducting research, preparing correspondence and reports, assembling training and educational materials, filing documentation, etc. Provide supplemental receptionist coverage as necessary.
Knowledge of office operations, quality assurance techniques, and telephone etiquette. Strong customer service, organizational, database management and computer skills (e.g., Microsoft Office Professional). Ability to communicate effectively, both orally and in writing, with a diverse group of people; maintain files and databases; collect, enter and analyze data; track assignments and meet deadlines; prepare and reconcile reports; establish and implement effective work flow processes; follow policies and procedures; and exercise sound judgment in making decisions. High school diploma and/or equivalent experience and training required.
Experience managing office operations and working in a public health environment, with the VVFC program and with medical staff preferred.
