This position is responsible for performing general administrative and office support duties for Company projects in the Allentown, PA office. Duties include: Keep and maintain project files; Maintain project e-mail box; Document control and data entry; Track projects and produce weekly and monthly progress reports; Write letters from drafts, process changes and finalize; Facilitate questions regarding projects and research information; Maintain project organization charts in Visio; Prepare agendas and meeting materials; Record minutes from Program Manager meetings; Answer phones and direct calls; Read and sort incoming mail; Collect bills/invoices; Type memos, correspondence, reports, and other documents; Make travel arrangements; Prepare outgoing mailings and labels, including emails and FedEx shipments; Organize and maintain project overview book; Coordinate client or vendor lunches, including set-up and clean-up; Reserve conference rooms; Coordinate with internal and client support departments; Order and maintain office supplies; Arrange equipment maintenance or set-up; Keep the project calendar and roster; Assist the Program Manager, with occasional project assistance for other managers; Develop PowerPoint presentations; Utilize Contract Management and SharePoint software to store, transmit and retrieve documents; Help coordinate clerical needs of special projects; Make copies of printed material. Additional duties as assigned by Program Manager to assist in the overall success of the project and company.
High School degree or equivalent. Minimum two years office/clerical experience. An advanced knowledge of Microsoft Word, Excel, and PowerPoint required. Excellent organization skills, attention to detail, communication skills and ability to handle multiple tasks. Some college coursework preferred.
