Our Seattle office has an exciting opportunity for a full-time Project Coordinator to join our growth-oriented professional engineering and environmental consulting office. We are seeking a positive, self-motivated person who enjoys multi-tasking and learning on the job. The successful candidate will partner with Project Managers, Project Analysts, and other members of the project and administrative team to help manage and coordinate projects from start to finish. The position provides a variety of clerical, admin, accounting, and project support functions as outlined below.

  • Project Setup: Coordinate and manage contract/subcontract processes, assist Project Managers in setting up Project Management Plans, create contact lists, set up and manage project files, request Certificates of Insurance
  • Project Correspondence: Review letters for grammar/spelling/format , create transmittals and cover letters, file emails in electronic files
  • Project Meetings: Coordinate with subs, etc. to set up meetings, coordinate with other project and administrate staff to reserve conference rooms, set up projectors and flipcharts, attend meetings, and take minutes
  • Project Deliverables: Manage the reproduction of deliverables including printing/photocopying multiple copies of documents (collating, binding and distributing), review deliverables for spelling/grammar/format, convert documents to PDFs, and burn CDs for client review
  • Project Closeout: Collect materials for the project file, coordinate archiving of project with administrative staff
  • Miscellaneous Project Work: Transport/deliver documentation as needed, track submittals, scan documents, download photos, data entry, create graphs/spreadsheets/tables, internet research, miscellaneous word processing and photocopying support, update equipment lists and design issues logs, maintain project calendars and schedules as needed
  • Transcribe, type, format, produce, proofread, and edit wide range of complex documents including correspondence, technical reports, technical memos, contracts, proposals, project descriptions, and other miscellaneous documents to meet all project and proposal objectives
  • Work under tight deadlines and manage multiple assignments, prioritizing as deadlines and needs change
Position Requirements
  • High school degree required; Bachelors Degree in Business, Accounting, or related field preferred
  • Minimum of 2 years experience as a Project Coordinator in the A&E field preferred
  • Candidate should be highly proficient in Microsoft Word, Excel, and Outlook; Power Point, MS Project, Adobe Acrobat, and Access skills are a plus
  • Ability to anticipate needs of multiple projects and to identify work assignments independently
  • Ability to work and communicate comfortably with senior managers and technical staff
  • Ability to work both independently and in a team environment
  • Excellent grammar and proofreading skills required
  • Technical editing/writing experience a plus
  • Strong organizational and time management skills essential and ability to prioritize and reprioritize as assignments shift
  • Candidate should be willing to work occasional over-time
