SmithBucklin and the United Soybean Board are currently looking for an experienced Project Coordinator located near St. Louis, MO.

  • Provide administrative, organizational, and meeting coordination oversight for assigned Action Team
  • Draft general correspondence, preparing written materials and presentations for meetings and conferences, taking notes for meetings, and responding to general information requests
  • Prepare and track contracts and contract amendments, preparing date extension and budget line shift requests
  • Posting RFPs, downloading and formatting proposals from USB Web site, coordinating budget review and distribution to committee
  • Coordinate final evaluations and prepare binders
  • Coordinate conference calls and fax votes for above committees
  • Organizing and maintaining information files related to program and project management
  • Communicate with subcontractors on reporting schedules
  • Download monthly and quarterly reports and coordinate staff review of reports
  • Maintain internal database of project information including budgets, start/end dates, and contractor contact information
  • Share responsibility for answering general phone line
  • Back up for administrative activities for other program areas as needed
  • Maintain event calendars, complete travel approval requests for committee travel
  • Assist Accounting Manager in billing, preparation of financial reports, forecasts and analysis
  • Review invoices for appropriate backup documentation
  • Code invoices to the proper line item and review for compliance issues
  • Provide accounting staff support to Accounting Manager as needed
  • Assist Accounting Manager in issuing quarterly spending letters and tracking of spending by project

  • Minimum of 3-5 years administrative experience
  • Nonprofit/association experience preferred
  • Experience with coordination and management of meeting and travel schedules for multiple professionals
  • High school graduate with basic accounting understanding
  • PC experience with Windows operating system and Microsoft Office (Access, Word, Outlook, PowerPoint, Excel)
