Transwestern, a national full service commercial real estate company, is seeking an experienced project coordinator to work in its New York, NY office. The Project Coordinator is responsible for is responsible for working directly with the General Manager, Property Managers and Engineers for the assigned property/projects.
It is also the responsibility of the Project Coordinator not only to exhibit legendary customer service when communicating with tenants, prospective tenants, owners, and vendors but also to focus on productivity and results.
Essential Job Functions:
Develops and maintains a detailed project schedule which includes administrative tasks and all sites involved in the project.
Maintain Project Managers calendars.
Members, ensure adherence to deadlines.
The detailed schedule will include all project phases and dependencies including at least preliminary engineering, property review and acquisition, detailed design, material procurement, installation, test and turn-up, and site and system acceptance.
Compile summary documents, e.g. Owner’s manuals, operation manuals, commissioning reports, as built, drawings, etc. Collect and maintain all project folders.
Communicate project status updates to client via email and phone
Able to respond to objections, disagreements, and conflicts with contractors, field personnel, or landlords while remaining calm and logical at all times.
Possess understanding of floor plans, specifications, materials, furniture, signage, finishes, and operation of building components such as HVAC, electrical, plumbing, and utility systems.
Request and submit work orders, bids, and proposals from vendors.
Assist in training new associates on facility management processes.
Conforms to the standards of Transwestern.
Preferably, a bachelor’s degree in Business Management, Finance, Accounting, or related discipline
Real Estate License is required.
At least three years of recent Project Coordinator/ Management experience, comparable with the property under consideration in terms of commercial, ownership, tenant lease arrangements, square footage, production leasing etc.
Must have intermediate to advanced Microsoft Word, Excel.
Excellent quantitative, analytical skills and basic understanding of finance
Ability to review and understand leasing documents and vendor proposals
Ability to problem-solve independently with minimal direction from supervisor
Must be to detail oriented, able to handle multiple projects simultaneously, able to prioritize work flow, extremely professional, and customer service oriented
Strong desire to succeed in an entrepreneurial environment.
Exceptional oral and written communication skills.
