Under the supervision of the Director of the Office of Massachusetts Client Relations (OMCR) or designee, this position is responsible for coordinating and monitoring program activities and contracts related to ongoing and new initiatives for Commonwealth Medicine (CWM) such as tracking, reviewing and analyzing data on CWM business activities; providing technical assistance to agency personnel; and coordinating schedules, tasks, activities and the day-to-day operations of the OMCR satellite office in Boston. Client relations management activities require that this position work independently and with a professional manner with highest level executives and program staff of both internal and external client base.

Facilitate communications with internal and external clients/partners and perform complex and varied administrative and secretarial tasks requiring a high degree of independent action and setting of priorities and procedures
Serve as liaison between OMCR and UMMS/CWM legal, fiscal and program executives, and coordinate and facilitate enterprise-wide ISA review team
Provide daily support on multiple projects and organize, coordinate, and manage administrative activities of the department
Arrange and schedule meetings as well as record, prepare, and distribute meeting minutes
Answer phones and screen calls as well as provide information and respond to questions
Maintain records and processing of staff travel reimbursement and departmental budget expenditures
Record and maintain the inventory of office equipment and supplies and coordinate all equipment purchases
Provide and coordinate administrative support for special projects. Assist in preparing spreadsheets, reports, presentations and follow-up materials on projects and reports
Administer, coordinate and manage OMCR SharePoint home site
Manage quality control and processing of centralized MA client-related contract documentation, including contract reviewing/editing, as needed
Communicate confidential information to Executive Staff and external sources
Maintain confidential client files
Participate in continuous quality improvement activities
Perform other duties as required

Bachelor’s degree in Business Administration a related field or equivalent experience
2 years of project coordination or related experience
Demonstrates excellent analytical organizational and time management skills. Utilizes independent judgment.
Strong interpersonal skills required to interact with all organizational levels; demonstrated ability to work appropriately with confidential information
Demonstrate the ability to assess priorities and operate in a flexible manner
Ability to work in a team and meet performance deadlines in a dynamic environment
Excellent oral and written communication skills
Demonstrated advanced ability to use computer-based/internet tools including electronic mail, word processing spreadsheet database products and Microsoft Office Suite products, including Excel, SharePoint, and Visio

Demonstrated professionalism and client-centered approach
Exceptional interpersonal skills
Healthcare experience; prior experience reviewing and editing contracts and / or agreements relating to Healthcare
Ability to work well without extensive supervision, and make sound judgments in compliance with overall program policies and procedures
Advanced proficiency in Excel and tracking system development
Demonstrated written and oral communication skills to include experience writing Executive briefs
Advanced project management skills
Event Coordination experience
Knowledge of HTML or willingness to learn HTML
Ad-hoc reports and business briefs
