This position supports the JFG Project Management Office (PMO) by performing administrative duties to ensure projects run smoothly. Manages administrative functions of project-related assignments including overall planning, tracking and documentation of projects in the project portfolio. General responsibilities include but are not limited to writing and distribution of key project documents, set-up and ongoing maintenance of project collaboration workspaces in SharePoint, coordination of meetings with internal and external partners. Coordinates corporate resource planning by creating and maintaining project pipelines and related resource schedules.

Note: In time, this position is expected to develop skills to transition into a first-level project manager

Specific Responsibilities

Partners with project managers to create detailed and summary status reporting for all projects

Maintains documentation on project portfolio, project pipelines and resource schedules

Ensures all projects have all essential documentation required to support exams and audits

Builds and maintains all project SharePoint sites

Provide meeting coordination responsibilities for the PMO team, including scheduling and preparation go meeting materials and artifacts

Supports the JFG Project Steering Committee

Prepare PMO budget schedules and coordinate updates for quarterly reforecast

Develops general project management skills and grow knowledge of JFG project management process

May participate in projects as a team member

In time, may lead projects that are smaller in scope, scale and complexity

Required Skills

Minimum 4 years of related experience (Project Coordinator, Project Lead or Executive Assistant)

Exceptional proficiency with MS Office

Proven ability to develop strong relationships and work all organizational levels

Strong organizational skills and keen ability to multi-task

Independent, creative problem-solving skills

High School Diploma or equivalent required; Bachelor’s Degree preferred
