GENERAL SUMMARY:

The Project Management Associate supports a portfolio of projects to achieve organizational growth. S/he helps to manage individual technology projects and supports the administration of a portfolio of projects organized into several themes, including software/infrastructure, core technology, student performance, mission-support, knowledge management and special projects. This position helps to improve organizational practice in the areas of project portfolio management, project methodologies, matrix management, user-centered design, internal communications and performance evaluation.

ESSENTIAL DUTIES & RESPONSIBILITIES:
• Project Portfolio Support
o Support the flow of information related to tracking and moving projects from initiation through to completion
o Facilitate evaluation of project ideas and other initiation activities
o Facilitate project review and approval process by generating reports and supporting project portfolio governance meetings, including scheduling, publishing agenda and meeting notes, and follow through on action items
o Support the creation and dissemination of project management standards (policies, guidelines, process, tools and other artifacts)
o Monitor and support adherence to project management standards

• Project Management Support
o Administer the flow of information specific to individual projects.
o Maintain project plans at different levels of granularity to support progress on individual projects.
o Track and report project progress.
o Support project meetings as needed

• General
o Assist with project resource management, including on boarding, vendor information management and tracking activities
o Support program and project budget management, particularly with expense tracking, reimbursement reporting, vendor payment coordination and expense reporting
o High degree of discretion with confidential information
o Help identify and resolve project scheduling issues and risks
o Develop and maintain strong working relationships with all project staff
o Develop appropriate policies and procedures for meeting project and funder reporting requirements
o Provide support to project managers and leads

• Demonstrate knowledge of, and support, Aspire Public Schools mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior

• Perform other related duties as required and assigned

1) Required knowledge, skills & abilities:

• Demonstrated ability to consistently follow-through on commitments
• Highly proactive, gets things done and constructively resolves conflicts
• Working knowledge of MS Project or other Project Management software
• Exceptional written and verbal communication skills; active listening skills a must
• Effective communication with both technical and non-technical people
• Exhibits critical thinking skills and asks meaningful questions
• Able to learn new technologies and areas of knowledge quickly and thoroughly
• Experience or comfort working in an entrepreneurial environment
• Demonstrated flexibility and creativity

2) Minimum educational level:

• Bachelor’s Degree, preferably in computer information systems, business administration, economics, engineering or another field involving analysis and practical application and communication of concepts

3) Experience desired:

• 2+ years experience project and resource management with teams involving three or more contributors
• Experience or strong interest in K-12 public education
