Assist Director of Property Management in managing a university-owned housing portfolio of 50 units. Serve as the main resource for property management activities of university-owned housings, including answering phones, responding to inquiries regarding university-owned housings, service requests and follow-ups, and etc. Develop and maintain related resource referrals for new tenants. Maintain applicant waiting list for faculty and staff housing. Create and maintain the property management web page, and other marketing materials as needed. May be required to develop and implement educational sessions regarding university-owned housings. Perform tenant on-boarding activities, including running credit checks for potential tenants; preparing lease documentations; ensuring property is ready for tenant move-in; calling utility companies to turn on orders and etc. Process rent revenues and late fees, and enter appropriate data into database. Submit rent roll to the Business Office at the end of the month. Process work order requests, including preparing work order requests, requisitions and purchase orders; providing documentations for budget purpose; contacting contractors and Facilities Management for services; securing proposals and conducting job walks with contractors for planned projects; tracking work orders and performing follow-ups on incomplete work orders. Schedule site inspections and inform Director of any problems. Create and maintain work plans and schedules. Create and maintain key control and distribution. Create and maintain tenant list and schedules. Create work plans and schedules, and track work orders. Process and track utility invoices for consumption data. Perform tenant turnover activities, including inspecting properties; terminating lease documentations; coordinating with Facilities Management; calling utility companies to turn off orders and etc. Maintain property management data and provide reports relating to work order, repairs, remodel costs, project lists and etc. Identify concerns, provide recommendations for solutions and assist in developing and updating policies and procedures. Attend local government and association meetings. Serve as a backup to the Capital Budget Analyst and Project Manager as needed. Perform other duties as assigned.

This position may require some evening and/or weekend hours.

Required: Prior experience in property management with oversight of at least 100-200 properties. Strong communication and interpersonal skills to communicate and interact clearly with diverse constituents in a tactful and diplomatic manner. Demonstrated technical skills to learn and use new administrative systems and generate reports. Reasoning logically, drawing valid conclusions and making effective recommendations to management. Experience in report writing and other forms of written communication such as major reports, correspondence, notices, rent increases, and tenant letters. Experience in performing accurate basic accounting duties such as verifying charges on invoices, processing payments, rent collection and etc. Strong attention to detail and organizational skills, with proven ability to track inventory, complete action items and assignments unsupervised and independently follow up on pending items prior to deadlines. Knowledge of basic residential construction: plumbing, roofing, painting, flooring, sewer lines, HVAC and landscaping. Proven ability to develop work plans and schedules, including experience in writing scopes of work and securing proposals through bid process. Strong customer service skills with understanding of individual needs. Strong computer skills in the use of Microsoft Office Suite applications. Ability to learn basic web and desktop editing tools. Ability to travel to off-campus locations. Ability to maintain confidentiality.

Desired: Real estate license. A minimum of five year experience in property management.
