This position serves as the Purchasing Assistant and is responsible for providing quality control assessments and compliance audits for contracted print production projects. The position reviews and approves publication samples, vendor claims and payments, and client invoices based upon review of products and contract specifications. The position serves as the bureau receptionist to provide customer assistance, receive visitors and route telephone calls. The position is also responsible for processing all envelope orders through the envelope term contract or other state authorized procurement methods. Competencies:At a minimum, the successful incumbent should possess:
General accounting practices, business communications, and records management
Microsoft Office products (word, excel) and accounting products such as SABHRS or other like budgeting systems
Developing alternatives and solutions to project deficiencies;
Communicating effectively both verbally and in writing;
Negotiating consensus among competing interests and priorities;
Prioritizing dynamic workflow requirements;
Translating technical information to varied audiences.
Ability to learn:
Government accounting and budgeting systems;
Printing industry standards, specifications, and production processes;
Contract administration, purchasing and procurement procedures, customer service standards;
Quality assessments of publication samples and final products.
The above knowledge, skills, and abilities are typically acquired through a high-school diploma and two years experience performing accounting or bookkeeping related functions in a customer service environment. Alternate combinations of education and experience may be considered.
