The Purchasing Coordinator will work under the direction of the Purchasing Manager, the Purchasing Coordinator will support the daily metric reporting activities, Return to Vendor (RTV) for the purchasing department. This position, reporting to the Purchasing Manager, will also support and work collaboratively with the Director of Supply Chain. This position will act as the primary contact for monthly reports that are reviewed by the Purchasing Manager, Director of Supply Chain and VP, Operations, Projects for the Purchasing Coordinator will include high level reporting and presentation assignments that will require judgment, critical thinking, ability to compile data and strong attention to detail.
This position is responsible for, but not limited to, the following:
Send Daily RTV Aged Reports to Buyers.
Assist Buyers in processing RTV’s shipments to suppliers.
Prepare monthly metric reporting for upper management review in PowerPoint (PPT) presentation format.
Coordinate data from various sources and prepare PPT slides.
Prepare weekly and monthly purchasing reports by supplier and by buyer.
Support the Purchasing Manager and Director of Supply Chain on operational projects as needed.
Assist in resolving receiving error issues (MSF).
Provide inventory and non-inventory cycle count support.
Perform PO and item master maintenance transactions in the ERP System to assist buyers, update PO’s with current delivery information.
Maintain supplier files by keeping them complete and up to date.
Follow established guidelines and procedures for filing and storage of purchasing records and supplier list as required.
SOX: Pull needed reports as requested by various internal departments and or auditors, Collect and review purchasing data (I.E. PO’s over $100k) and audit our files per the SOP and point out where we are non-compliant.
Audit purchasing files for purchase orders as per signature matrix.
Audit supplier files for supplier assessments, contracts, supplier approval forms, Approved Supplier List (ASL).
Knowledge of product and service purchasing policies and practices.
Verbal, interpersonal and written communication skills.
Report preparation skills.
Ability to interact with vendors and provide assistance to various departments.
Ability to operate personal computer with various software programs.
Ability to attend to details.
AA required or equivalent years of experience.
3-5 years work experience in data analysis preferred.
Proficient with MS Office 2010 applications: Excel, PowerPoint, Project, Visio and Word.
