Transwestern, a national full service commercial real estate company, is seeking an experienced administrative professional to work in its Dallas, TX office. The Real Estate Administrator is responsible for managing a Client’s real estate portfolio and maintaining the Client’s lease database. The primary responsibility is to support the Client and broker with day to day real estate transactions. A Real Estate Administrator will be responsible to abstract and enter leader information into the Client’s Lease Administration database. It is the responsibility of the Real Estate Administrative not only to exhibit legendary customer service when communicating with tenants, prospective tenants, owners, and vendors but to focus on productivity and results.
Essential Job Functions:
Ensure timely and accurate reporting to the brokers and Clients in accordance with the Services Agreement.
Supervise the processing of all real estate legal documentation related leases, renewals, options, vendor contracts and other various notices.
Monitor property related Rent Rolls, Lease Expirations, Operational Variance Reports, Delinquency Reports, and other reports required by the Services Agreement.
Responsible for administration property portfolio processes, procedures and associated manuals.
Participate in the creation or modification of commercial property portfolio processes, procedures and associated manuals.
May assist with preparation of annual budgets for Client’s real estate portfolios.
Review proposed major expense variances from commercial property budgets and make recommendations to Client. Prepare or oversee the preparation, in a timely manner, of all documentation and information required for accounting department data input and report generation.
Coordinate annual commercial property budget reviews, competitive surveys and management business strategies.
Coordinate with Client’s accounting and legal team.
Participate in special projects periodically assigned by the Director of Lease Administration.
High School diploma or GED equivalent
Bachelor’s degree is preferred
Minimum of 2-3 years of experience as a real estate administrator or portfolio manager
Some experience with real estate, property management, asset management or accounting preferred
Computer proficient, including working knowledge in using Microsoft Word, Outlook, Excel, and Adobe products
Familiarity with using third party Lease Administration databases
Must be highly organized with strong attention to details
Strong verbal, written and interpersonal skills
Ability to read and understand real estate documents and Lease communication
Ability to create quality work in a fast paced environment
Ability to manage large workloads from various Clients
Great computational and analytical skills
Communicates by telephone, fax, e-mail, and in- person.
Some travel may be needed
Use of office equipment (scanner, photocopier, phone, computer, etc.)
