Introduction
Working at ARM, a FTSE-100 company in the semiconductor IP space, as the Receptionist you will:
Report to the US Facilities Manager
Assist with support for the San Jose ARM office alongside the San Jose Facilities Project Coordinator
Serve as a direct point of contact for a variety of internal and external customers
Successful applicant will have a positive attitude, excellent communication skills, strong multitasking ability and an interest in learning new skills/technologies with the ability to take initiative in completing projects and workload related activities.
Responsibilities
Open and close the office
Process mail (including shipping and receiving)
Greet visitors to the office and direct them to the proper contact
Maintain lobby security by following ARM Security procedures; including issuing badges, monitoring badge logbook; signing in of visitors & vendors
Receive and route incoming telephone calls and provide information/assistance to caller
Receives and distributes incoming faxes, mail and packages, maintains log for FedEx, UPS
Process outgoing mail and express packages, including international
Assist with conference room setup, scheduling
Responsible for catering, food ordering, setup and paperwork processing
Responsible for ordering office supplies and manage full process to vendor payment
Monitor & respond to Facilities service tickets and email status
Assist the Facilities Coordinator with some vendor management, including billing, order tracking & expediting
Maintain San Jose’s Reception Desk reference manual
Provide administrative support to other departments with specific projects or events
Respond to property emergencies as needed
Adhere to compliancy of office in line with ARM Office Management Procedure (OMP) and with ISO accredited system
As well as: meeting planning, assisting with company function planning and support, ordering supplies, maintaining lobby area, reception handbook, facilities support, and administrative support to divisions located in San Jose.

Education & Qualifications
High school diploma
Add'l courses a plus
Essential Skills & Experience
4+ years of administrative and office support experience
Must be prompt and on time
Excellent verbal & written communication skills
Positive energetic attitude and work ethic
Ability to perform duties with minimal supervision or guidance
Proficient with Microsoft Word, Excel, Outlook, Sap and FedEx domestic/international
Multi-tasking and self-starter abilities a must
Professional appearance
Must work well in both team and independent situation
