Our client is a prestigious hedge fund in San Francisco, who is looking for an receptionist/ administrative assistant with experience supporting a team of professionals in a fast paced environment. The ideal candidate would have a background in the finance industry or have a passion for the industry.
Direct Incoming Calls and Messages
Promptly answers telephone calls to the main console and appropriately directs callers.
Forwards messages as requested.
Greet and direct clients in a professional manner
Receives clients, job applicants, and other visitors to the firm in a courteous and professional manner, determines their needs, and directs them to the proper person; obtains each visitor’s name and ensures that he/she has an appointment or is expected.
Maintains the reception area in a neat and clean manner at all times and ensures that the reception area/kitchen is properly stocked.
Books conference rooms for the firm’s executive client meetings
Help analysts with ad hoc projects, travel, and calendar management
Second assistant to the Founder, and help the EA to the Founder as needed
QUALIFICATIONS AND REQUIREMENTS:
Education: Bachelor’s degree required
Experience: We are seeking candidates who are poised, polished, articulate, mature and client-service oriented. One plus years of receptionist/admin experience working in the finance industry
Knowledge, Skills and Abilities:
Effective communication skills, both written and oral
Strong customer service skills
Proficiency in using a computer for data entry and e-mail
MS Word, Excel, and Outlook
Proficiency in using a telephone console;
Ability to handle multiple incoming telephone lines
Strong organizational skills, interpersonal skills, and attention to detail
Ability to work both independently and collaboratively as part of a team
Ability to work under pressure in a fast-paced environment and to act quickly while remaining calm and polite
Ability to coordinate multiple assignments concurrently
