Challenging position responsible for the front desk operations to include but not limited to; processing incoming/outgoing mail, daily mail out to members and packet preparation, generate reports, disseminate faxes to appropriate people/departments, greet visitors following specific guidelines and other clerical functions as needed.
Primary Duties, Responsibilities and Competencies:
Process the daily welcome letter mail out.
Ensure packets are prepped and ready prior to mail out
Ensure supplies are available on site for mail out, i.e., temp ID stock, envelopes, provider directories, etc.
Process daily incoming and outgoing mail following a general guideline on mail procedures.
Greet and direct visitors to AlohaCare by following the AlohaCare Visitor Policy and Procedure.
Ensure that all visitors to AlohaCare are escorted around the office. In some instances, people may have attended compliance training and then would not have to be escorted.
Identify those calls requiring detailed information and transfer to appropriate individual or area.
Take accurate messages.
Answer incoming calls promptly and with a pleasant, friendly telephone personality.
Generate various reports daily, weekly or monthly, i.e., Enrollment Report.
Perform a variety of clerical duties of copying, faxing, and assisting various individuals as AlohaCare.
Perform other duties as required.
Required Competencies and Qualifications:
Office experience or a graduate from a clerical training school.
One year of reception work or switchboard operation.
Type 35 wpm with a high degree of accuracy
Have a working knowledge of office equipment such as a fax machine, mail machine and copiers.
Able to understand and carry out verbal and written instructions.
Be flexible and adaptable to changing priorities.
Have a positive attitude and be able to work with a variety of different people at various levels and personalities.
Must follow AlohaCare dress code and have a professional appearance.
Required Licensure / Certification:
High school graduate.
Preferred Competencies and Qualifications:
Knowledge of Microsoft Office.
Additional Job Requirements:
Able to sit in front of a computer screen for extended periods of time.
Ability to remain calm and professional in difficult situations.
Business hours are from 7:30 am – 5:00 pm; Monday through Friday. Flexible schedule may be available.
