The candidate needs to be proficient in Microsoft Office products (WORD, EXCEL), Data Entry &
Typing, Organized, and have ability to multi-task.


Prepare Company packages for Test dates to include:

Prepare folder if new Company

If existing Company, pull file with records from previous year’s testing

Put in alphabetical order with list of employees tested on top.

Include package of forms: Industrial Charge Sheets

Company Contact Information, Calibration Sheets, Test Room Sheets, & Sign-In sheets

Data Entry Includes:

If new company, build into OHM

Audiograms put in alphabetical order

Key in results

Maintain Industrial Files

Prepare Hearing Conservation Books

Prepare Cover for Book in Word

Print Batch reports from OHM

Type Calibration Sheets from info provided by Testers

Type Test Room Sheets from info provided by Testers

Copy Sign-In sheets

Include OSHA Requirements

Prepare label for mailing

Prepare Industrial Invoices

Count actual number of audiograms for correct billing

Prepare invoice in Sycle, print, file copy, and mail copy

Tracking for Industrial Testing/Billing

Maintain spreadsheet for:

Company Tested, Test Dates, Tester(s),

Dates test results entered

Date book mailed, Date Book Delivered,

Date Invoice sent and payment due date


Follow-up includes:

Confirming book and invoice received

Checking Sycle for payment received

Additional responsibilities:

Keep supply of Industrial forms available

Keep room and desk organized and clean

Empty trash

Keep up with required supplies for ordering:

Printer cartridges

Brochure Paper


Highlighters, Pens, Staples, etc.

Office Expenses Spreadsheet:

Maintain spreadsheet for all office Expenses monthly and send to Jackie in email

Front Desk Functions: Answer phones, make appointments, pull files, take payments, post patient notes in Sycle, call to confirm appointments, and various office functions

Other Office duties : assist with mass mailings.

  • High school diploma or GED.
  • Experience in data entry
  • Excellent interpersonal skills that allow effective working relationships with a diverse
    customer, colleague, and vendor population. This includes listening, and problem solving skills.
  • Strong keyboard/computer skills
  • Must be able to organize time and prioritize numerous duties within strict deadlines.
  • Requires the ability to deal with numerous interruptions.
  • Must be detailed oriented.
