DUTIES

POSITION: Receptionist/Sales Assistant/Administrator-NYC

Handle all incoming calls into CARR, welcome visitors, Sales support, and general administrative duties

RESPONSIBILITIES:
  • Administrative support for NYC office of 50 employees.
  • Answer and transfer all incoming calls to the appropriate party or department.
  • Meet and greet visitors.
  • Deliver supplies for customer pickups and obtain signed proof of delivery.
  • Manage office passkeys
  • Manage Petty Cash, perform monthly reconciliation
  • Sort and distribute mail
  • Distribution of interoffice correspondence including receiving documents, packing slips, expense reports, checks and invoices.
  • Manage order and supply distributions for NYC office
  • Manage conference room schedules
  • Setup for meetings and order lunches as necessary.
  • Manage orders for coffee and kitchen supplies. Ensure lunch room is stocked and cleaned, including disposal of old food items from refrigerator
  • Manage postage machine and supplies (ink cartridge and sealing fluid).
  • Single point of contact for building maintenance coordination.
  • Other duties as assigned.
QUALIFICATIONS

REQUIREMENTS:
  • At least two years office experience.
  • Strong written and verbal communication skills.
  • Excellent customer service skills
  • Ability to express complex thoughts clearly in writing, perform calculations, keep complex records
  • Proficient in Word, Excel and PowerPoint
  • Ability to multitask and work in a fast-paced environment
