The Receptionist must have the following:
Excellent customer service skills -
- A basic understanding of military protocol and Air Force terminology -
The ability to work with a diverse population -
Above average oral communication skills -Proficient with Microsoft Office computer software applications Must be able to obtain a CAC card for access to, but not limited to -- Includes but not limited to Microsoft Excel, Word, PowerPoint, and Outlook
The Receptionist will receive all A&FRC customers and all incoming telephone calls to determine nature and purpose of visit, and direct or escort them to specific destinations. All phone messages will be distributed in a timely manner. Receptionist will also check voicemail, return/distribute message within two hours of receipt. The Receptionist will set up and maintain workshop registrations and enroll customers in A&FRC educational workshops and seminars, track total number of walk in/phone customers per month and document number personnel attending the center for miscellaneous workshops/classes/functions i.e. spouses tours, commanders calls etc. Receptionist will also schedule daily one-onone customer appointments for staff. Office policies and procedures must be followed when scheduling all customers.
- Ability to develop, maintain, and update data automated scheduling and entry of all sign ups for seminars, workshops, appointments.
The Receptionist will develop, maintain, and update, as needed, a database and printed materials on available resources available through the A&FRC, the base, and the local community. The Receptionist will ensure all materials in front lobby are updated and replenished on a regular basis. The Receptionist will sort and route incoming mail. The Receptionist will maintain confidentiality of all individual and family data concerning sensitive, personal or private information made available to the Receptionist during the execution.
Anticipated Job Requirements:
Duties require calm, confident, and professional demeanor while handling multiple phone-calls and walk-in inquiries.
- A.A.S degree in Office Systems Technonlgy or in Business fields required, or a B.S. degree in various Business fields preferred
- Minimum 2-5 years of experience as a Administrative Assistant or Receptionist
- Very strong skills in Microsoft Office software (MSWord, Excel, PowerPoint and Access)
