Receptionist

Summary

The Receptionist will answer calls in a pleasant and professional manner and direct any incoming calls to the proper individuals. The Receptionist will be in charge of any ingoing and outgoing mail and ordering of office supplies. They will take care of ordering lunches or reserving rooms for any events that require such as well as reserving any equipment.

Duties and Responsibilities

Switchboard:
  • Answer telephone in courteous, professional manner for all offices as necessary
  • Direct incoming calls to proper individuals in timely manner
  • Maintain weekly schedule for all offices
Support Functions:
  • Review vendor invoices for product receipt and correct pricing
  • Capture credit card transactions through Orbital system and interface with Accounting
  • Prepare daily outgoing invoices for mail
  • Type envelopes and labels for outgoing mail each day
  • Maintain postage meter
  • Stamp mail and deliver to mailbox daily
  • Accounts payable mailing-matching checks with remittances once a week and distribute employee expense reimbursement checks
  • Maintain petty cash and reconcile each month
  • Provide welcome sign and greet customers and guests
  • Lock front door at 5:00
Event Functions:
  • Coordinate room and equipment reservations
  • Order all food and drink for schools and customer/internal events
