Job Summary The Receptionist position is primarily responsible for providing courteous, timely and accurate reception services for the company, and to professionally answer calls and greet visitors. As the first point of contact, this person is responsible for representing and maintaining the company’s best image to those who come to the receptionist desk.

In addition, other responsibilities include support of executives in scheduling meetings, arranging travel, processing expense reimbursements, purchase and stock break room supplies, and assist with various other projects as needed.

  • Strong interpersonal skills; ability to effectively work with high level executive clients as well as all professionals within the firm
  • Ability to adapt well in a constantly changing environment
  • Willingness to take on additional tasks and responsibilities
  • Detail oriented with strong organizational skills; the ability to prioritize and multi-task efficiently
  • Computer proficiency in MS Outlook, Word, Excel
  • Multi-line phone experience
  • Calendaring experience
  • Travel scheduling experience
Primary Duties & Responsibilities
  • Provide front desk reception coverage; including managing multi-line phones professionally
  • Provide excellent service to guests, colleagues, and any visitors at Health Catalyst
  • Ability to handle confidential information with discretion
  • Accept deliveries, sort and distribute mail, maintain phone lists, and filing
  • Strong verbal and written communication skills with the ability to professionally compose simple written correspondence/emails with little or no guidance
  • Purchase office and break room supplies
  • Responsible for stocking and maintaining two break rooms
  • Assist in various executive administrative support activities at the direction of the Office Manager
  • Some record-keeping duties
  • Work with Human Resources to provide some assistance with employee onboarding
Other responsibilities include but are not limited to:
  • Schedule meetings and update executive calendars in Outlook
  • Provide executive meeting support as needed
  • Schedule travel for executives
  • Processing of executive expense reports
  • Other ad hoc duties as assigned by the Sr. Executive Assistant and executives
Education & Relevant Experience
  • High school diploma or equivalent
  • At least 2 – 3 years of administrative assistant experience in an office setting
