To provide a professional and efficient frontline business support to the Office.
Answer all incoming calls promptly, professionally and efficiently.
Process incoming and outgoing mail daily for Office Tenants and Mall Management Office – follow Administration procedures for all mail-outs.
Process all tenant rent checks, record on check log, and send to lock box daily
Log Contractor’s onto roof
Keep daily tenant maintenance request records and roof leak log
Ensure that all general areas of reception area, conference rooms, waiting rooms, and break room are neat and tidy at all times and reception desk is clear of any rubbish or over crowding.
Attending to any customers and contractors that enter the Reception area with a high level of customer service demonstrated at all times.
Provide support to all business unit team members as requested.
Provide general reception duties for office tenants
Prepare monthly tenant billing for office tenants
Mail out monthly statements
Prepare new vendor set-ups
Prepare TAN’s as required
Undertake in-house training as it is made available and to participate in any outside training courses which might be available through the company which would increase skills relating to the position now employed.
Mail out AP checks to vendors on weekly basis, file AP Stamps and invoices weekly
File incoming lease items weekly
Enter Bi-Weekly Payroll, and post employee PTO
Pull Copier totals monthly
Keep office supplies as needed
Report any required maintenance on office items (fax, photocopier, scanner, lighting, bathrooms etc), and order postage as necessary.
Responsible for stocking kitchen supplies and maintaining it in a clean and tidy condition. Update office telephone directory – review and forward any changes to Marketing department as changes are made
Have a sound knowledge of office procedures and an attitude to accept responsibilities and to work autonomously as required, but also participate as a team member within the business unit.
Prepare and complete IPMP’s within the timeframe set by Human Resources Department.
Pull local economy info for weekly update /assembly update with info provided by other team members and send to GM per prescribed deadlines
Naturally helpful and friendly manner
High level of initiative
Must be professionally presented and well spoken due to high client levels
Ability to multi-task and be very well organised
Attention to detail
Proficiency in Microsoft Office applications
Previous experience in a corporate environment advantageous
Displays a willingness to be apart of the Administration team
