Principal Accountabilities

Clerical and Support Function 
Answer Phones 
Gift card sales and tracking 
Handle customer/tenant/vendor/contractor walk ins 
Prepare memos to retailers advising of changes, new stores, management updates, etc 
Update tenant and vendor certificates of insurance 
General filing 
Customer inquiries/complaints 
Update phone system, mall website, Sharepoint, Twitter and Facebook accounts 
Open and sort mail 
Order office supplies, corporate handbooks, etc. 
Update cc: mail 
Prepare conference call minutes, staff meeting minutes, etc. 
Mail accounts payable 
Collections calls

Management/Operations/Communications 
Assist in organizing tenant files and leases 
Assist Operations Department as needed 
Prepare contracts 
Track contractors Certificates of Insurance 
Assist in preparation of construction updates and agreements 
Review public safety reports for accuracy 
Prepare insurance claim forms and transmit to proper department as needed 
Assist Accountant as needed 
Prepare opening and closing notices for tenants 
Order through Sitestuff website and verify deliveries as requested 
Provide administrative help to other departments as requested


Competencies 

Time Management - Ability to manage time well and be self-motivated, without direct supervision. 

Communication - Able to provide ongoing input to mall team through thoughtful and detailed information. 

Teamwork - Able to work in a team atmosphere, providing support to other departments as necessary. 

Organization - Ability to maintain an organized workspace/office and have the skills necessary to keep an easily understood filing system. 

Customer Service - Has the interpersonal skills to provide good service to customers, contractors, vendors, and clients. Has friendly and helpful attitude.


Complete knowledge of excel, word

Ability to learn employer specific web based, software systems
