We are seeking a Receptionist to join our New York office and serve as an ambassador to our organization, primarily by answering phones, greeting visitors, and assisting in general office administrative duties. This is an ideal opportunity for a high-energy individual who enjoys working in a fast-paced, collaborative environment while demonstrating a high attention to detail and strong customer service skills.

Primary responsibilities include:

Responds to and routes all incoming phone calls with high accuracy in a manner that demonstrates Shawmut's culture, values, image, and client service expectations

Greets all visitors promptly upon arrival, welcomes them, signs them in and notifies the appropriate staff member

Utilizes industry and Shawmut knowledge to provide accurate and detailed information to clients as needed and remains abreast of changes within the office including changes in support, personnel, business units, seating etc

Maintains front lobby, reception and surrounding areas to present Shawmut in the best light for clients

Follows all safety and health procedures as well as emergency and warrantee situations

Separates mail by priority, confidentiality level, type, recipient, etc. and distributes to appropriate person within timely manner

Accurately log all packages and ensures delivery

Assists with management of supplies and stock

Assists with copying and scanning as needed including blueprints, collating and organizing documents, including machine maintenance

Ensures that common spaces, passageways and exits are clean, safe and organized and stocked with necessary supplies

Assists with set-up and orientation for new hires, including needed supplies, available resources and how to find them within the facilities

Experience - External:
Skills and Qualifications:

3 to 5 years of experience in a corporate setting required

High School Diploma or equivalent work experience

Solid MS Office experience and skills; proficiency in using database applications and programs

Exceptional organizational skills and attention to detail

Commitment to client service and ability to work effectively with others at all levels of the organization

Strong sense of urgency
