Job Summary

The Receptionist is responsible for answering all switchboard phone calls and providing service to all incoming visitors, as well as providing administrative support to the Senior Director of Admissions and Executive Committee members. Incumbent must assure that the EDMC philosophy: quality services to clients; development, growth, involvement, and recognition of employees; sound economic principles; and environment which is conducive to innovation, positive thinking and expansion - is considered in carrying out the duties and responsibilities of this position.

Key Job Elements

Ø Responsible for answering incoming calls. Route calls promptly and correctly to the proper staff person or voicemail, correctly and politely take messages when necessary.

Ø Greet visitors in a friendly, welcoming and professional manner and direct them to their proper destination.

Ø Assist as necessary with special admission events.

Ø Responsible for all printing and supply needs as well as delivery of forms and ordering items.

Ø Assist with data entry and special projects as needed.

Ø Fill requisitions of publications on a weekly basis for Admissions and on a monthly basis for other departments as well as maintain an inventory of publications.

Ø Assist with the execution of direct mail and bulk mail projects.

Ø Other responsibilities as determined by the Admissions Leadership and Executive Committee Members.

Organizational Relationships
  • Reports To: Senior Director of Admissions
· Interacts With: New and continuing students and their parents, management, staff and faculty

Job Requirements

1) Knowledge:

a) Bachelor’s degree required.

b) One to two years of experience in a data entry or administrative role, preferably in a post-secondary institution.

c) Experience with a multiple line busy switchboard.

d) Possess a sincere interest in helping others achieve life goals.

2) Skills:

a) Excellent communication skills, both written and oral.

b) Strong customer services and interpersonal skills with campus leaders, faculty, staff and students.

c) Superior organization, prioritization, and self-motivation skills.

d) Strong computer literacy skills with the Microsoft Office Suite, as well as field related hardware and software packages and systems for reporting features.

3) Abilities:

a) Ability to interact effectively as a member of a team and work collaboratively with other departments.

b) Ability to listen to customers (e.g. students, staff, etc.) and to understand and respond positively to their requests.

c) Ability to adapt to changing assignments and multiple priorities.

d) Ability to manage multiple tasks and successfully meet deadlines.

e) Ability to work without close supervision and to set one's own priorities.

f) Must be flexible and willing to assist with various clerical functions.
