Trident currently has an opening for a Receptionist. This person is the first point of contact; greets visitors, handles mail and courier shipments, and operates PBX or multi-line telephone system answering incoming calls and directing callers to appropriate personnel. Work hours are Monday through Friday 8:00 a.m. or 5:00pm or 9:00 a.m. to 6:00pm with an hour lunch (to be determined).

Essential Functions:
Retrieves messages from voice mail and forwards to appropriate personnel.

Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.

Distributes and responds to email requests.

Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

Answers questions about organization and provides callers with address, directions, and other information.

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.Monitors visitor access and issues passes when required.

Alerts Safety Designee to security issues.

Processes daily outgoing USPS mail using critical thinking for efficiency and cost. Maintains knowledge of operation of mail equipment: electronic scale and postage machine.Completes necessary documentation for USPS services (Priority Mail, Express Mail, Certified Mail and other USPS services. Utilizes USPS website and resources to keep current on rates and service changes.

Ensures that adequate postage funds are loaded to mail machine. Maintains adequate stock of related supplies, processing supply orders as needed.

Receives, sorts, and routes mail.

Prepares courier packages, using Fed Ex, DHL and other necessary websites and audits related invoices for payment. Receives, logs and routes incoming courier shipments.

Creates and prints memos, correspondence, reports, and other documents when necessary.

Provides back up for review and composition of Trident News interoffice messages.

Performs other clerical duties as needed such as data-entry, event planning, and collating.

Advises callers regarding use of website (HR).

Additional Responsibilities :
Performs various administrative projects in support of the department or business unit assigned.

Performs other similar or related duties as requested or assigned.

Minimum Requirements

Education:
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Experience:
Special Training/Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.To perform this job successfully, an individual should have knowledge of email, spreadsheet software, word processing software and presentation software.Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Work Environment: While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and risk of electrical shock. The noise level in the work environment is usually moderate.

Physical Demands: While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 30 pounds.

Mental Activities: While performing the duties of this job, the employee is frequently required to read, speak, write and understand English, and to use customer service skills. The employee is regularly required to use interpersonal and teamwork skills. The employee is occasionally required to use creativity, independent judgement, discretion, problem analysis, and decision making skills.
